Pin’s integration with Greenhouse Recruiting lets you source candidates directly in Pin and automatically sync them to Greenhouse based on customizable triggers. You can choose when to sync: when a candidate is added to an outreach sequence, replies to an email, or replies with interest, automating handoffs at key engagement moments. Pin syncs detailed candidate information, including name, email, phone number, location (city, state, country), current job and company, and a resume PDF. To avoid creating duplicate candidate profiles, Pin checks for existing profiles in both systems by email and LinkedIn URL. You’ll also see when a candidate was sourced from Pin in Greenhouse, helping your team track sourcing performance and understand where candidates were found.

Create a Harvest API key

To configure the integration, you’ll need to create a Harvest API key.

Follow the steps in this article to create the key, and verify that the permissions below are selected when configuring the Pin integration.

Credentials

In the Create New Credential box, make the following selections:

  • API Type: Harvest
  • Partner: Pin or Unlisted Vendor
  • Description: Pin Harvest API Key

Permissions

Verify that the following permissions are selected for the Pin integration:

  • Candidates
    • Get: Retrieve Candidate
    • Get: List Candidates
    • Patch: Edit Candidate
    • Post: Add Candidate
    • Post: Add E-mail
    • Post: Add Note
    • Post: Add Attachment
    • Post: Add Application
    • Post: Add Education
    • Post: Add Employment
    • Post: Add Prospect
  • Jobs
    • Get: Retrieve Job
    • Get: List Jobs
  • Users
    • Get: Retrieve User
    • Get: List Users

Connecting your Greenhouse integration

To connect Greenhouse to Pin, navigate to Settings > ATS Integrations and select Greenhouse from the list.

Next, you’ll need to enter your Greenhouse Harvest API key in the API Key field.

After entering your API Key, the Greenhouse integration will be connected.

Syncing candidates to Greenhouse

To sync candidates to a specific job in Greenhouse Recruiting, follow these steps:

  1. Go to the Automation tab in Pin.
  2. Scroll to the "Export Candidates To ATS" section.
  3. Select the Greenhouse job you want to sync candidates to.

Next, choose when to sync candidates by selecting one of the following triggers:

  1. When they're added to an Outreach sequence
  2. When they reply to an email
  3. When they reply and express interest

Once you've selected your preferred trigger, click “Enable” to save your settings. Pin will now automatically sync candidates to the selected job in Greenhouse based on the chosen trigger.

Checking if a candidate synced to Greenhouse

To confirm if a candidate has synced to Greenhouse, open their profile in Pin. If you see the Greenhouse logo, this means that they’ve been successfully synced. Clicking the logo will take you directly to their profile in Greenhouse.

Manually syncing a candidate to Greenhouse

If the candidate hasn’t synced yet:

  1. Select the candidate in Pin.
  2. Click “Export to ATS”, choose the Greenhouse job you want to sync the candidate to, then click “Export” to complete the sync.
  3. After exporting, refresh the page, and you should now see the Greenhouse logo appear on their profile.
