The Greenhouse/Luma integration will allow Luma to join your interviews, giving you real-time interview coaching and automatically capturing key interview moments to analyze and share.

 

Greenhouse Recruiting’s integration with Luma allows Luma to automatically join your interviews scheduled via Greenhouse. In this article, we will cover how to:

  • Configure User Setup Permissions in Greenhouse Recruiting
  • Create a Harvest API Key for the Greenhouse/Luma Integration
  • Import your open roles into Luma

Configure User Setup Permissions in Greenhouse Recruiting

In order to enable the Greenhouse/Luma integration, you will need the developer permission Can manage ALL organization’s API Credentials.

Contact a Greenhouse user in your organization with Site Admin level permissions with the additional user-specific permission Can edit another user's advanced permissions to apply the API credential management permission to your account. Have the user with Site Admin level permissions edit your user account's permissions by navigating to the Configure icon   > Users > Your Name).

The user with Site Admin level permissions should navigate to the Permissions panel on your user page and expand the Developer Permissions dropdown menu. 

Select Can manage ALL organization’s API Credentials so that a check is in the checkbox. When finished, click Save.

Repeat as necessary for any other user that should have access to set up the integration.

 

 

Create a Harvest API Key for the Greenhouse/Luma Integration

 

To create a Harvest API key for the integration, click on the Configure icon  in the upper right-hand corner. Navigate to Dev Center on the left-hand panel.

 

From the Dev Center page, click API Credential Management.

 

 

From the API Credential Management page, click Create New API Key to generate the API key for Luma.

 

 

From the Create new credential dialog box, give your API key a name and select Harvest from the Type dropdown menu. When finished, click Create.

On the Manage API Key Permissions page, select the following checkboxes:

- Applications

- Candidates

- Job Openings

- Job Posts

- Job Stages

- Jobs

- Scheduled Interviews

- Scorecards

- Users

When finished, click Update.

 

Your Harvest API key for the Greenhouse/Luma integration is created and configured. Navigate back to Luma to complete the integration process.

 

How to use the Luma Integration with Greenhouse

Click on your user avatar in the top right corner of the page, and click Settings

Navigate to the Greenhouse page under Integrations

Note - You must be an admin in your Luma Organization to access this page

 

Paste your API Key from step 7 into the Harvest API Key text box and click save.

After saving the API key, select which roles you would like to pull into Luma from Greenhouse. You can choose “Import all jobs” or “Choose jobs individually” to select which roles you would like to capture using Luma.

 

Interviews for the selected roles will be automatically captured on Luma, and you will be able to see candidate and role information in the Luma interface. Unselected roles will not be captured, and you will not see these roles or the candidates in Luma.

 

Finally, the last step to capture your interviews in Luma is to follow the standard scheduling workflow in Greenhouse.    

 

 

After selecting a time for the interview, make sure to Add Video Conferencing and then select Zoom. Greenhouse will generate a Zoom link and Luma will join the meeting automatically when it’s time.
