Greenhouse Recruiting’s integration with Ducknowl allows users to pull candidates resumes, names, and emails, from Greenhouse to Ducknowl so recruiters can start the screening process quickly. In this article, we will cover:


Configure user setup permissions in Greenhouse Recruiting

To enable the Ducknowl integration, you need the developer permission Can manage ALL organization’s API Credentials.

Contact a Greenhouse Recruiting user in your organization with Site Admin level permissions with the additional user-specific permission Can edit another user's advanced permissions to apply the API credential management permission to your account. Have the user with Site Admin level permissions edit your user account's permissions by navigating to the Configure icon Configure.png > Users > Your Name.


The user with Site Admin level permissions should navigate to the User-Specific Permissions panel on your user page and expand the Developer Permissions dropdown menu. 

Select Can manage ALL organization’s API Credentials so a check is in the checkbox. When finished, click Save.


Repeat as necessary for any other user that should have access to set up the integration.


Create a Harvest API key for the Ducknowl integration

To create a Harvest API key for the integration, click the Configure icon Configure.png in the upper-right corner, and navigate to Dev Center on the left panel. From the Dev Center page, click API Credential Management.


From the API Credential Management page, click Create New API Key to generate the API key for Ducknowl.


In the Create New Credential dialog box, make the following selections:

  • API Type: Harvest
  • Partner: Ducknowl
  • Description: Ducknowl Harvest API Key

When finished, click Manage Permissions to generate the Harvest API key and automatically assign it the appropriate permissions required by Ducknowl.


In the subsequent dialog box, click Copy to save your API key to your clipboard. Store the API key in a secure location to provide to Ducknowl in the next step. Click I have stored the API Key once you have copied and saved the key.

Note: You cannot access the full API key again after clicking I have stored the API Key. If you lose your API key and need to access it later, you must create a new API key, provide it to the integration partner, and then revoke access to the original key.


On the subsequent page, confirm the following permissions are assigned to your new API key:

  • Activity Feed
  • Applications
  • Candidates
  • Close Reasons
  • Custom Field Options
  • Job Openings
  • Job Posts
  • Job Stages
  • Jobs
  • Offers
  • Rejection Reasons
  • Scheduled Interviews
  • Scorecards
  • User Roles

If any of the permissions above are not checked, place a check in the box next to the appropriate permission. Click Save when finished. 

Your Harvest API key for the Ducknowl integration is created and configured. Save the API key to enter in Ducknowl in the next step. 


Enable the Ducknowl integration

Note: The user enabling the integration must have administrator access in Ducknowl to complete the setup.

Login to your Ducknowl Admin Account. In Administrator view, click My Account. Under ATS Name, select Greenhouse from the dropdown options. Paste the API key copied from Greenhouse, into the ATS key field. Then click Validate ATS. A pop up appears once ATS key is successfully validated. Once ATS key is confirmed as valid, scroll to the bottom of the page and click Save Changes.


The Ducknowl integration is complete.


Pull resumes directly from Greenhouse Recruiting for each job posting

Using the same Ducknowl profile logged in under when integrating Greenhouse Recruiting with Ducknowl, access recruiter view.


Recruiter View displays a list of jobs you have created. If the job you want to pull resumes for is not in the list, then create the job by clicking add job and follow the steps provided. If/once job is created, click on it.


To connect this job with a specific job posting on Greenhouse and pull resumes specific to this job, click on the edit option displayed with a pencil icon near the job title.


This opens a pop up. Enter the ATS Link in the ATS Link field.


The ATS link can be found on your Greenhouse Recruiting account. Click All Jobs in your Greenhouse Recruiting account and select the specific job in Greenhouse Recruiting you want to pull resumes for. Once you have selected the specific job posting, copy the URL link from the address bar. This is the link you can paste in the ATS Link field described in the previous step.


Click Saves Changes and Ducknowl will pull all resumes from Greenhouse Recruiting for the job posting you have linked.
