Get started

Before you get started, open the Greenhouse Integration Page in BrightHire and log in to Greenhouse Recruiting.

To set up the integration, you'll need to make sure your account has the right permissions:

  • Can manage ALL organization's API credentials
  • Manage and configure webhooks

Learn more about user permissions here.

Step 1: Create a new user for the integration and add it to BrightHire

To use the BrightHire integration, you'll need an integration user to help automate some of the actions taken by the interaction:

  • In Greenhouse, click Configure in the upper right-hand corner.
  • Navigate to Users on the left-hand panel, and click + New Users.
  • Type <company-name>@greenhouse.brighthire.ai into the email input and click Site Admin.
  • Uncheck Send invitation email.
  • Click Save.

Your settings should look like this:

  • Locate and click on the <company-name>@greenhouse.brighthire.ai user in the Users list.
  • Locate the Host (Domain) and Admin User ID in the URL

Step 2: Create a Harvest API Key for the Greenhouse/BrightHire Integration

A Harvest API key ensures that BrightHire and Greenhouse are properly connected.

  • Click on Configure in the upper right-hand corner of Greenhouse.
  • Navigate to Dev Center on the left-hand panel.
  • Click API Credential Management.
  • Click Create New API Key
  • Give your API key a name and select Harvest from the Type dropdown menu.
  • Click Manage Permissions.
  • On the Manage API Key Permissions page, click Select All. When finished, click Save.

Your Harvest API key for the Greenhouse/BrightHire integration is created and configured. You can navigate back to the BrightHire open tab, and enter this API key into the API Key input box, then click Save.

You can read more about Harvest API for partner integrations here.

Step 3: Complete your Greenhouse integration

Make the following updates in BrightHire:

  • Check Enabled.
  • Click Save

The Integration Status at the top should display a green checkmark. If not, an error message should appear. You can follow the instructions or contact support for additional steps.

Step 4: Complete your settings and create the interview webhook

After your integration status is connected, you'll need to create an interview webhook for the integration. Based on the features you're using, you may also need to create the Data Retention webhook for your integration.

  • Navigate to Greenhouse > Configure > Dev Center > Webhooks > Webhooks
  • Enter a name for your new webhook - brighthire-interview
  • Go to When and select Interview Deleted
  • Copy the webhook URL from BrightHire and paste it into the endpoint URL field
  • Copy the generated key and paste it into the Secret Key field
  • Toggle Disabled to No
  • Click Create Webhook

Step 5: Create Data Retention webhook

Note: This step is required if you're using the Data Retention feature.

  • Navigate to Greenhouse > Configure > Dev Center > Webhooks > Webhooks
  • Enter a name for your new webhook - brighthire-candidate-anonymized
  • Go to When and select Candidate Anonymized
  • Copy the webhook URL from BrightHire and paste it into the endpoint URL field
  • Copy the generated key and paste it into the Secret Key field
  • Toggle Disabled to No
  • Click Create Webhook

Note: To automate this, check “If the candidate’s data is anonymized in Greenhouse” on this page in BrightHire (Configure > Compliance > Data Retention).

Congratulations! Your BrightHire/Greenhouse Integration is complete!

(optional) Configure opt-in message for the integration

By default, an opt-out email is automatically sent to candidates before each interview.

If you prefer to turn the email off and build the disclosure into your organization's language, Brighthire offers the option to include a dedicated opt-out link.

If you're interested in an opt-out link, reach out to support@brighthire.ai to request the link. Read more in their support center here.

Using the BrightHire integration

After BrightHire confirms your integration is enabled, you're ready to use Greenhouse Recruiting with the magic of BrightHire! First, download the BrightHire Chrome Extension.

Any interview scheduled through Greenhouse Recruiting with a phone number or video conferencing link in the event or invitation is accessible with BrightHire. If BrightHire is scheduled to join, your interview will be recorded and transcribed, and all your AI notes will be auto-generated and emailed to you at the completion of your interview.

To place a phone call from Greenhouse Recruiting candidate page, click the ‘Call with BrightHire’ button next to a candidate's phone number to launch the BrightHire interview assistant and fire off a call to the candidate.

With either of these options, BrightHire will pull the candidate's phone number, name, custom questions, and position from Greenhouse Recruiting into BrightHire.
