Greenhouse Recruiting's integration with Circular allows you to receive Circular's curated candidates directly in your Greenhouse Recruiting account, allowing the candidates to more seamlessly connect with your existing workflow.

Schedule a Circular demo and connect your Greenhouse Recruiting account

Before beginning integration setup, request a demo through your Circular account by navigating to User Menu > Account Settings > ATS Integration.

Select Greenhouse and click Schedule a demo. The Circular ATS team will answer your request quickly.

Circular's ATS team will provide you details required to configure the integration, including web hooks information. During the integration setup, you will create a Harvest API key, which you will need to provide to the Circular ATS team.

To connect your Greenhouse Recruiting account, in the Circular platform navigate to User Menu > Account Settings > ATS Integration, then select Greenhouse. Click on Connect Account.

On the subsequent page, provide the email address associated with your Greenhouse Recruiting account and click Connect Account.

Your Greenhouse Recruiting account is now connected to Circular.

Create a Harvest API Key for the Greenhouse Recruiting / Circular Integration

To configure the Greenhouse Recruiting / Circular integration, you'll need to create a Harvest API key.

Follow the steps in this article to create the key, and verify that the credentials and permissions below are selected when configuring the Circular integration.

Credentials

In the Create New Credential box, make the following selections:

  • API type: Harvest
  • Partner: Circular (optional)
  • Description: Circular Harvest API key

Permissions

Verify that the following permissions are selected for the Circular integration:

  • Applications
  • Candidates
  • Job Posts
  • Job Stages
  • Jobs
  • Sources
  • User Roles
  • Users

Create the Circular webhooks

Retrieve your Endpoint URL, Secret Key, and Error Recipient Email from Circular

Before beginning this step, you must obtain your webhook data from the Circular ATS team, or from within your Circular account.

To retrieve the web hooks information from your Circular account, navigate to Account Settings > ATS Integration > Greenhouse, then click Connect Webhooks.

Copy the name, endpoint URL, secret key, and error recipient email for each of the five webhooks.

Once you have the information above, follow the steps in this article to create your webhook. You'll need to create five webhooks for the Circular integration.

Webhook 1: Job post created

  • Name: Circular - Job post created
  • When: Job Post Created
  • Endpoint URL: Paste the endpoint URL provided by Circular
  • Secret key: Paste the secret key provided by Circular
  • Error recipient email: Paste the email address provided by Circular
  • Disabled?: Set as No

Webhook 2: Candidate or Prospect rejected

  • Name: Circular - Candidate or Prospect rejected
  • When: Candidate or Prospect rejected
  • Endpoint URL: Paste the endpoint URL provided by Circular
  • Secret key: Paste the secret key provided by Circular
  • Error recipient email: Paste the email address provided by Circular
  • Disabled?: Set as No

Webhook 3: Candidate or Prospect unrejected

  • Name: Circular - Candidate or Prospect unrejected
  • When: Candidate or Prospect unrejected
  • Endpoint URL: Paste the endpoint URL provided by Circular
  • Secret key: Paste the secret key provided by Circular
  • Error recipient email: Paste the email address provided by Circular
  • Disabled?: Set as No

Webhook 4: Candidate has been hired

  • Name: Circular - Candidate has been hired
  • When: Candidate has been hired
  • Endpoint URL: Paste the endpoint URL provided by Circular
  • Secret key: Paste the secret key provided by Circular
  • Error recipient email: Paste the email address provided by Circular
  • Disabled?: Set as No

Webhook 5: Candidate has changed stage

  • Name: Circular - Candidate has changed stage
  • When: Candidate has changed stage
  • Endpoint URL: Paste the endpoint URL provided by Circular
  • Secret key: Paste the secret key provided by Circular
  • Error recipient email: Paste the email address provided by Circular
  • Disabled?: Set as No

Use the Greenhouse Recruiting / Circular integration

Circular does not alter or add any stages in your Interview Plans. You simply will receive candidates from Circular directly into the Application Review stage of your pipeline.

Candidates added to your Greenhouse Recruiting account from Circular will have a source of Circular listed on their Details tab. This custom source allows you to identify and review Circular candidates as a whole, as well as break down and analyze their quality.

You will also see Circular candidates identified by additional display information.

You can view referral information other members of the Circular community have left about candidates. These reviews are included within each candidate's resume, located under the Details tab on the candidate profile in Greenhouse Recruiting.

To schedule an interview with a candidate added from Circular, advance the candidate to an interview stage in Greenhouse Recruiting. The candidate will receive an automatic email from Circular with your interview interest. If the candidate accepts, Circular will introduce you and the candidate by email. From that moment, you will be able to access the candidate's contact information and start your selection process.
