SkillSurvey

SkillSurvey's data-driven approach makes getting important, relevant feedback on candidates quicker, more cost-effective, and most importantly, more predictive of success through references. Greenhouse Recruiting's integration with SkillSurvey allows your organization to add an automated reference check stage to a job's interview plan. In this article, we will cover:

 

SkillSurvey Implementation Plan

In order to implement the Greenhouse Recruiting/SkillSurvey integration, you will need to contact your SkillSurvey Custom Relationship Director (CRD) or support@skillsurvey.com. You will participate in a kickoff call with SkillSurvey that will include:

  • A review of the integration
  • The requirements needed to set up the integration
  • The integration implementation steps and timeline

SkillSurvey will email Greenhouse Recruiting to request the integration for your SkillSurvey UAT (test) account. Greenhouse Recruiting's support team will respond with a SendSafely link for SkillSurvey to submit the UAT credentials and URL. Greenhouse Support will email SkillSurvey confirming that the configuration has been set up in yourSkillSurvey UAT account.

SkillSurvey will work with you to add the SkillSurvey stage, generate the Harvest API Key, and initiate a test candidate. As candidates enter the SkillSurvey stage, SkillSurvey will initiate the Reference process through Greenhouse Recruiting. Once candidates submit their test, a link to the results will be accessible through the Interview Kit in Greenhouse.

When ready to go live, SkillSurvey will email Greenhouse Support to request the integration configuration for your SkillSurvey production account. Greenhouse Support will respond with a SendSafely link for SkillSurvey to submit the production credentials and URL.

Greenhouse Support will email SkillSurvey confirming that the configuration has been setup in your SkillSurvey production account and your integration is ready for go live. SkillSurvey will work with you to add the SkillSurvey stage to your Interview Plan.

 

Configure User Setup Permissions in Greenhouse Recruiting

In order to enable the Greenhouse/SkillSurvey integration, you will need the developer permission Can manage ALL organization’s API Credentials.

Contact a Greenhouse user in your organization with Site Admin level permissions with the additional user-specific permission Can edit another user's advanced permissions to apply the API credential management permission to your account. Have the user with Site Admin level permissions edit your user account's permissions by navigating to the Configure icon configure.png> Users > Your Name.

The user with Site Admin level permissions should navigate to the Permissions panel on your user page and expand the Developer Permissions dropdown menu.

Select Can manage ALL organization’s API Credentials so that a check is in the checkbox. When finished, click Save.

Repeat as necessary for any other user that should have access to set up the integration.

 

Create a Harvest API Key for the Greenhouse/SkillSurvey Integration

To create a Harvest API key for the integration, click on the Configure icon configure.png in the upper right-hand corner. Navigate to Dev Center on the left-hand panel.

From the Dev Center page, click API Credential Management.

From the API Credential Management page, click Create New API Key to generate the API key for SkillSurvey.

From the Create new credential dialog box, give your API key a name and select Harvest from the Type dropdown menu. When finished, click Create.

On the Manage API Key Permissions page, select the following endpoints that SkillSurvey needs for the integration:

  1. Applications, GET: Retrieve Application
  2. Candidates, GET: Retrieve Candidate
  3. Jobs, GET: Retrieve Job
  4. Users, GET: Retrieve Users

Your Harvest API key for the Greenhouse/SkillSurvey integration is created and configured. Provide your Harvest API key to your SkillSurvey onboarding team so they can set up the integration.

Add SkillSurvey Stage to Interview Plan

Once the integration is enabled, add the SkillSurvey stage by first navigating to a job (All Jobs > Job).

From the Job page, click Job Setup and navigate to Interview Plan on the left-hand panel.

Navigate down the page and click +Add a Stage. Select the SkillSurvey stage from the subsequent list and click Add.

Configuring SkillSurvey Stage

Once the stage has been added, click Edit Take Home Test. From there, you will see a dropdown menu that reflects the assessments (surveys) you have configured in SkillSurvey. Select the appropriate assessment (survey) and then click Save.

An active SkillSurvey user needs to be assigned to the candidate that will be sent into the SkillSurvey Interview stage.  SkillSurvey uses the email address listed under the Who’s responsible for this candidate? to assign the Candidate to a Recruiter in SkillSurvey. This user will receive all SkillSurvey email notifications.

 

Send and Review SkillSurvey Assessment 

Click the Send Test link from the SkillSurvey stage to trigger the integration from Greenhouse Recruiting to SkillSurvey. 

The Greenhouse user has an additional opportunity to modify the survey selected for the Candidate to send to their references. 

Greenhouse checks for status updates sent from SkillSurvey every hour.  Once the minimum amount of SkillSurvey references have responded, a link to create and view the SkillSurvey Candidate Feedback Report is sent to Greenhouse to be selected by the Recruiter. 

The Greenhouse user will select the Scorecard link, then the SkillSurvey icon
