A job approval process allows your organization to configure a flow whereby a secondary person must review and approve the details of a job in Greenhouse Recruiting before candidate recruitment and / or offer creation can begin.

Since an approval process is intended to provide accurate job details to the approver, changes to a job's details can trigger a second re-approval process while the initial approval process is underway. In this article, we'll cover the impacts of re-triggering job approval on one-stage and two-stage job approvals.

Note: In the case of a two-stage job approval process, the second-stage approval process can be triggered even after full approval.

One-stage job approvals

With a one-stage job approval flow enabled, any newly created job is opened in a Draft job status instead of being immediately available for candidate recruitment. People configured to be job approvers are notified that the new job is pending approval.

While a job is pending approval, changes to the following job details will re-trigger another email to notify the approver of the changes and request approval:

  • Requisition ID
  • Openings
  • Opening IDs
  • Department
  • Employment type

The original approval notification email requesting approval will be voided and the new re-triggered email will allow the approver to reject or approve the job.

Two-stage job approvals

With a two-stage job approval flow enabled, any newly created job is opened in a Draft status instead of being immediately available for candidate recruitment. Once the final person approves the job, it'll be opened for candidate recruitment as Open (Approval Pending).

Unlike a one-stage job approval, a two-stage job approval requires a second approval process to generate an offer for a candidate. We've outlined the various approval states a job can be in and what changes to specific job details can trigger:

Before first-stage approval received

If a job is still awaiting first-stage approval, the job status is Draft. This means the designated approver for the job has yet to approve the job for candidate recruitment.

Any changes to the following fields re-trigger the approval request email to begin candidate recruitment:

  • Requisition ID
  • Openings
  • Opening IDs
  • Department
  • Employment type

Between first-stage and second-stage approvals

If a job has been approved for candidate recruitment but not yet approved for the second stage (generating offers), the job status is Open (Approval Pending).

Any changes to the following fields re-trigger the approval request email to begin candidate recruitment:

  • Requisition ID
  • Openings
  • Opening IDs
  • Department
  • Employment type

After second-stage approval received

If a job has received approval to start creating offers for candidates the job is considered fully open and the job status is Open.

Any changes to the following fields re-trigger the second-stage approval only:

  • Requisition ID
  • Openings
  • Opening IDs
  • Department
  • Employment type

Note: To re-trigger the first stage approval email (such as approval to start recruiting) in this scenario, the job must be set to Draft mode, have its job details changed, and then be re-submitted for approval.
