Permissions: Site Admins who can view and edit billing contact information on the billing page

Site Admins can manage key billing details for their organization directly in Greenhouse, including contact information, headcount, and renewal contacts. These updates help ensure invoices are delivered correctly and renewals stay on track.

How to access the billing page

To access your billing details, log into Greenhouse and navigate to Configure > Billing.

This page includes account-level information, such as your assigned account team and the details that appear on your invoices.

Update billing contact information

Your billing contact information is used to generate and deliver invoices for your account. If this information is outdated, billing documents may not be delivered, which could interrupt your Greenhouse plan. Periodically, we may request an account review to make sure the information is up-to-date.

You can update your billing contact at any time by clicking the Edit icon next to that section.

Update renewal contact information

Note: This feature is in closed beta and is only available to select customers at this time.

The renewal contact is the person Greenhouse will reach out to about your upcoming plan renewal. Keeping this contact up to date ensures that your team receives timely renewal information.

To update this contact, click the Edit icon next to the renewal contact section.

Update company headcount

Note: This feature is in closed beta and is only available to select customers at this time.

Greenhouse uses your company headcount to help tailor your subscription and billing details. If your organization grows or changes, make sure to update your headcount to reflect the current number.

To update this information, click the Edit icon next to the company headcount field.

Notification 120 days before renewal

Note: This feature is in closed beta and is only available to select customers at this time.

Greenhouse will display a reminder to your dashboard 120 days before your subscription renewal date. This notification gives your team time to review your plan, update contact information, and make any necessary adjustments.

To make sure all your information is up to date, click Review and you'll be taken through several steps where you can review and update different pieces of billing information.

Keeping your contact details current ensures this notification reaches the appropriate person and helps prevent disruptions to your account.

View billing changes in change log

Note: This feature is in closed beta and is only available to select customers at this time.

The Billing page includes a change log where Site Admins can audit updates made to billing-related fields. This includes filters for events like:

  • Billing contact updated
  • Company headcount updated
  • Renewal contact updated

Reviewing this log regularly helps ensure your account information stays accurate and up to date.
