Fireflies.ai is an AI meeting assistant platform that helps you record, transcribe, and generate meeting notes from your meetings. Fireflies integrates with all major conferencing platforms, along with business applications and ATS platforms like Greenhouse.

Fireflies.ai’s integration with Greenhouse Recruiting allows you to automatically send meeting data, notes, and summaries to relevant candidate profiles in Greenhouse.

Create a Harvest API key

To configure the Fireflies.ai integration, you’ll need to create a Harvest API key.

Follow the steps in this article to create the key, and verify that the permissions below are selected when configuring the Fireflies.ai integration.

Credentials

In the Create New Credential box, make the following selections.

  • API Type: Harvest
  • Partner: Fireflies or Unlisted Vendor
  • Description: Fireflies Harvest API Key

Permissions

Verify that the following permissions are selected for the Fireflies.ai integration.

  • Candidates
    • POST: Add note
    • POST: Add prospect
    • DELETE: Delete candidate
    • GET: Retrieve candidates

Add the Harvest API key to Fireflies.ai

From the Fireflies dashboard, click Integrations.

Search for Greenhouse within the search bar and click on it.

Click Connect.

Enter the Harvest API key. Next, you'll need to retrieve your User ID from the Greenhouse and add it to the dashboard.

Retrieve your Greenhouse User ID and add it to Fireflies.ai

Login to Greenhouse and click Configure.

Click on Users

Click the user listed

Copy the User Id from the URL

Go to the Fireflies dashboard and paste the User ID

Click Authorize this integration.

If you’re an admin, you’ll now see the Authorize this integration button turn green, along with Additional Options.

Enable the Apply to entire workspace toggle from the Additional options and click Continue to apply the integration for the entire workspace.

Note: The above two steps are only visible to admins. Everyone else will see the Continue option.

Click on Continue.

Note: By default, Fireflies will create a new candidate in Greenhouse when no existing candidate is found. Toggle this switch OFF to prevent automatic candidate creation.

Next, click on Create Sample Meeting to verify the integration.

You will now see a processed message. The notes will be logged as a prospect.

Click Continue.

Click Complete.

You will now see a green color tick mark on the Greenhouse icon, indicating that the integration has been completed successfully.

To view the candidates added during the Test connection, head over to Greenhouse and click on CRM, and select Prospect Without a Pool.

Here, you will find the candidate added during the test integration.

You can find the meeting notes logged under the Activity feed.

Use the Fireflies.ai integration with Greenhouse Recruiting

Whenever a meeting is scheduled, Fireflies will identify participants from the meeting invite and match their email addresses with candidate profiles in Greenhouse. After the meeting, the system will automatically update the candidate's profile with the meeting notes.

To view the meeting notes in Greenhouse after your meeting, follow these steps.

  1. Navigate to All Candidates: In Greenhouse, go to the Candidates page from the main dashboard.
  2. Search for the candidate: Use the search bar to find the candidate whose meeting notes you want to view.

Access the Notes Icon

Once you’ve located the candidate’s profile, click the Notes icon on the right-hand pane.

View Meeting Details

Here, you'll find all the details from meetings associated with that candidate.

All meetings will be logged in chronological order, allowing you to review them efficiently.

How to disable Greenhouse integration

Go to Integrations and open the Greenhouse integration.

Click Disable on the top right corner.

Your Greenhouse integration is now disabled. You’ll see a disabled icon under Current Configuration.

To enable it again, click Enable on the top right.

Note: If you want to change the API key or User ID after the integration, click Disconnect, follow the above integration steps again.
