AI Screened streamlines applicant screening with Ryan, an AI recruiter who reviews resumes, conducts phone screens, and manages candidate comms 24/7 so you can meet your best potential hires, right away.
AI Screened’s integration with Greenhouse Recruiting allows you to seamlessly add Ryan’s assessment to a job's interview plan.
Enable the AI Screened integration
You will need an AI Screened API key to connect the integration. To obtain this key, first, create an AI Screened account here.
Once your account is created, log in to your account and click ‘Settings’ on the left side. Then scroll down to the Integrations section and click ‘Connect Greenhouse’ to generate an API key.
On the next screen, you will receive an AI Screened API key to copy and save. Keep this API Key somewhere safe as it will not be shown again.
Then, follow the steps in this article to add the AI Screened assessment stage in your interview plans in Greenhouse.
After Greenhouse has activated the AI Screened integration, log in to the AI Screened application again and add your Job Description. Common document file types, including .pdf, .docx, .doc, .rtf, and .txt can be uploaded.
The AI Screened application will assess the job description. Once the JD is uploaded, it’s time to teach your AI Recruiter, Ryan, about an ideal candidate’s specific skills that he can use to screen resumes for who to reach out to. You’ll do this by highlighting two things: Must Haves and Nice to Haves.
Adding Must Have skills for resume screening
These are non-negotiables. If a candidate doesn’t meet these requirements, they don’t qualify to move forward. For example, if you’re hiring for a NodeJS developer and the candidate’s resume doesn’t mention any JavaScript or NodeJS experience, they will be disqualified.
We recommend you start with only listing things your candidates absolutely must have. At a minimum you need 2 Must Haves. It’s good to start with only that. You can always add on more later to refine your shortlist.
Adding Nice to Have Skills for resume screening
These are the extra skills or experiences that would be great to have, but aren’t dealbreakers. Ryan will prioritize candidates who meet most of your Nice to Haves, but he won’t rule someone out if they don’t tick every box.
Once you’ve set up your interview plans and configured your take-home test, you’ll be able to send the test to candidates to have them screened for your role.
Use the AI Screened integration with Greenhouse Recruiting
Once the AI Screened integration is enabled for your organization, you will be able to add the AI Screened assessment as an interview stage.
Edit your Interview Plan, select Add Stage, and select the AI Screened stage. Position this stage near the beginning of your interview plan.
Calibrate your Resume Screening Scorecard
When you add a new role to AI Screened, we recommend calibrating your resume screening scorecard with a few sample profiles. By default, our integration will only screen candidate resumes and your AI Recruiter, Ryan, will not reach out to candidates.
To calibrate your scorecard, follow the steps below to send your test to a few sample profiles. The test results for the resume screening will sync back to Greenhouse within a minute. You may also conveniently review all results on the AI Screened application.
If you wish to revise your scorecard at this point, go back to the AI Screened application and edit the scorecard. It’s helpful to do a few rounds of calibration until you feel your resume screening scorecard is shortlisting the right candidates for interview from your sample batch.
Once you feel comfortable with the calibration results, go to your job on the AI Screened application and click ‘Outreach’ and enable screen calling from your job settings.
Simply click the option to do additional shortlisting with screen calls.
After you have saved your changes to the outreach setting for your role, Ryan will proceed to schedule interviews for selected candidates from your calibration. (You can read more about that process further below)
Note: After outreach is enabled for a job, test results for candidates will be updated on Greenhouse only after Ryan’s job is done. This means you will receive the results after the candidate completes the interview unless the profile fails resume screening.
Screening candidates
In Greenhouse Recruiting, under the Candidates tab, move candidates to the AI Screened stage using Bulk Actions. Initiate a screening assessment by clicking Send Test.
Choose the role for which you are assessing and select the member of your team who will grade the results of AI Screened’s assessment.
After clicking Send Test, AI Screened will assess the resume fit for the role based on the criteria you configured during setup on the AI Screened application.
At this point one of two things will happen:
- If outreach is disabled for the role, or if the candidate fails resume screening: You will receive test results within a minute explaining why the candidate is unsuitable for the role. These candidates will not be contacted by AI Screened.
- For candidates who meet the majority of your criteria: Ryan, our AI recruiter, will initiate contact via email to schedule a screening call. This call is designed to further evaluate the candidate’s suitability for the role. These instructions are actually sent by Ryan at AI Screened who will communicate with your candidate as your AI recruiter.
With outreach enabled, a candidate’s assessment status will be marked as 'pending' in Greenhouse Recruiting until they complete the screening call with AI Screened. This typically takes 1-3 days, depending on candidate availability.
Once the candidate has completed the screen call, the Interview Kit will contain a link to view the results in the AI Screened application.
To see a candidate’s results in AI Screened, click View Report.
Frequently asked questions
How do I set up a new role to screen for in the AI Screened application?
Before you begin using AI Screened with Greenhouse Recruiting, log in to the AI Screened application and add a role with a job description.
After the job description has been processed, AI Screened will suggest criteria to assess the candidates. Select criteria suggestions that are important to your organization for this role, or add skills that are required.
What is the screening process like?
At a high level, AI Screened’s process follows a structured process to review resumes with a scorecard, interview candidates on their experience and fit, and help answer questions / coordinate all the steps in between.
It all starts when candidate resumes will be first assessed for fit based on the criteria you’ve established on the AI Screened application.
If a candidate’s assessment results determine they are a poor fit for the role, immediate feedback will be returned to your grader, including an email summary and a detailed evaluation in the AI Screened application. In this situation, the candidate will not receive any communication from AI Screened.
For candidates with a strong or potential match to the criteria, Ryan, the AI recruiter from AI Screened, will email the candidate to schedule a screening call at a convenient time. (This typically occurs within 1-3 days, depending on the candidate.)
On the phone call, Ryan will cover relevant experience, problem-solving, and behavioral attributes. The call takes from 15 to 30 minutes, depending on the candidate.
Note: Customizable screen call assessments ranging from technical skill evaluations to in-depth behavioral interviews are also available on certain pricing plans. Please contact AI Screened
Afterwards, the candidate’s performance will be assessed by AI Screened’s mindful AI designed to recommend fair, neutral assessments. The grader assigned in Greenhouse Recruiting will be notified of the results, including objective, detailed feedback about the candidate’s qualities that matter most to your organization.
How do candidates communicate with Ryan?
For candidates who pass the resume screening, Ryan manages all the screening stage candidate communication by email.
Correspondence includes scheduling the screening call, answering questions for candidates, follow-ups if left pending too long, handovers to the next round, rejections, and reminders.
Think of Ryan like an extension of your recruiting team capable of communicating at scale to ensure no candidate at the screening stage is overlooked.
What does a screen call sound like?
You can listen to call samples from AI Screened’s AI recruiter or reach out to help@screened.io to try a screen call demonstration.
Can you assess a candidate without a resume?
Not at this time. Candidates sent to AI Screened without a resume will be assessed as ‘not a fit’ at the resume screening step, as there are no qualifications, skills, or experience that can be screened. Please reach out to AI Screened if you have a use case for screening candidates without resumes.
