AI Screened streamlines applicant screening with Ryan, an AI recruiter who reviews resumes against your job requirements, runs structured phone screens when your team sends an invite, and returns screening results to Greenhouse.

AI Screened's integration with Greenhouse Recruiting allows teams to sync jobs and candidates into AI Screened, send resume and interview results back to Greenhouse, add tags and notes, populate custom fields, and move candidates between Greenhouse stages when configured.

Enable the AI Screened integration

Before you connect

Note: You must be a Site Admin or Job Admin with permissions to manage company metadata, custom fields, and webhooks.

For the most reliable setup, have a Greenhouse Site Admin connect AI Screened using a dedicated Greenhouse service user. A service user keeps the integration stable because the connection is not tied to one employee's Greenhouse access. This helps the integration keep working if an employee leaves the company or changes roles.

AI Screened needs Greenhouse access to create webhooks, create or update custom fields, create tags, read jobs and candidates, post notes, and move candidates when your workflow uses stage movement. If the connecting user has limited access, the connection can succeed but job sync, webhook setup, custom fields, tags, notes, or stage movement may be incomplete.

Connect Greenhouse Recruiting

In AI Screened, go to Settings > ATS.

Select Greenhouse.

If possible, authorize the integration with a Greenhouse service user.

Return to AI Screened and confirm that the Greenhouse card shows as connected.

Confirm the connection

When the connection succeeds, the Greenhouse card in Settings > ATS shows that it is connected. The card also includes Sync, which asks AI Screened to look again for candidates in the configured intake stage, and Disconnect, which removes the Greenhouse connection.

If AI Screened shows a read-only permissions warning, ask a Greenhouse admin to disconnect and reconnect the integration with full permissions.

Use the AI Screened integration with Greenhouse Recruiting

Before adding Greenhouse jobs, decide how AI Screened should read candidates, whether it should move candidates, and what it should write back to Greenhouse. These settings live in Settings > ATS.

There are two separate controls:

  • Stage Mapping controls which Greenhouse stage AI Screened reads candidates from and whether AI Screened moves candidates after specific outcomes.
  • Candidate updates controls which tags and notes AI Screened posts back to Greenhouse and which Greenhouse user appears as the note author.

Stage Mapping

Use Recommended mode if your team wants the simplest starting workflow. In Recommended mode, AI Screened screens candidates from the standard Greenhouse intake stage, usually Application Review, and does not move candidates between Greenhouse stages.

Use Custom mode when your team wants to choose the read-from stage or move candidates after specific AI Screened events. 'Read from' tells AI Screened which Greenhouse stage to watch. 'Move to' tells AI Screened where to move candidates after a configured event. If a 'Move to' field is blank, AI Screened does not move candidates for that event.

Custom movement options can include resume outcomes such as Strong fit and Not a fit, interview events such as Interview invited, Yes / Maybe, and No, and team actions such as Shortlisted or Archived. Interview stage mapping does not turn interviews on; it only controls Greenhouse movement after an interview invite or interview result exists.

Candidate updates

Use Candidate updates to choose what AI Screened writes back to Greenhouse candidate profiles. This is separate from stage movement: Stage Mapping controls candidate movement, while Candidate updates controls visible Greenhouse updates such as tags, notes, and note attribution.

'Tags to post' controls which Greenhouse tags AI Screened applies. 'Notes to post' controls which Greenhouse notes AI Screened writes. 'Post notes as' controls which Greenhouse user appears as the author. Many teams use a dedicated service user so AI Screened notes are easy to identify.

AI Screened can write results to Greenhouse as tags, notes, custom fields, and optional stage movement. Some tags and notes depend on the Candidate updates settings your team saves.

Greenhouse error tags

Error tag What it means Suggested fix
Screened Error - Missing Job AI Screened could not match the candidate to an AI Screened job. Confirm the Greenhouse job has been added to AI Screened.
Screened Error - Missing Resume No readable resume was attached. Add a resume, then click Sync in Settings > ATS.
Screened Error - Resume Unreadable The resume file could not be parsed. Replace the file with a readable PDF or document, then sync again.
Screened Error - Duplicate Candidate was already screened for the same job. Review the existing result instead of rescreening.
Screened Error - Unknown Screening failed unexpectedly. Retry sync; contact Screened support if it repeats.
Screened Error - Limit Reached Resume screening credits are unavailable. Add resume screening credits or reduce the sync batch.

Add Greenhouse jobs and sync candidates

After Greenhouse is connected and ATS settings are saved, add the Greenhouse jobs you want AI Screened to screen.

In AI Screened, go to Jobs.

Click Add job.

Select the Greenhouse jobs you want AI Screened to screen.

Click Add 1 job or Add jobs, depending on how many jobs you selected.

Adding a Greenhouse job tells AI Screened which role to screen. When the job is added, AI Screened automatically queues candidates from the configured intake or read-from stage if they have readable resumes. You do not need a separate import step.

Use Sync from Settings > ATS when AI Screened should look again for candidates in the configured intake stage. Sync is useful after you change the intake stage, add candidates to the Greenhouse job, move candidates into the intake stage, or fix a permissions or resume issue. Adding jobs and syncing new candidates can use resume screening credits when AI Screened finds candidates that need to be processed.

Review AI Screened results in Greenhouse Recruiting

For daily review in Greenhouse, start with new candidates tagged Screened CV - Strong Fit. Read the written assessment, check the must-have evidence, and then advance the candidates you want to interview. Then review edge cases such as borderline scores, missing-resume or unreadable-resume errors, and candidates with high scores who were later rejected or archived.

AI Screened can write resume results back to Greenhouse as tags, notes, and custom fields. The Greenhouse candidate profile can show the AI Screened CV Fit (%), AI Screened CV Recommendation, AI Screened CV Results, and AI Screened Profile fields.

Filter candidates in Greenhouse

Use Greenhouse filters when recruiters want to review candidates directly from a Greenhouse job.

Open the relevant job in Greenhouse Recruiting.

Click 'Review Applications' under Pipeline to begin your application review.

Click 'Filter talent' in the top right corner to enable filters.

Filter or sort by AI Screened CV Fit (%) when you want the highest resume scores first.

Filter by Screened CV - Strong Fit when you want candidates who passed the resume screen.

Filter by Screened CV - Not a Fit when you want to audit candidates who did not pass.

Send AI Screened interview invites

AI Screened does not invite candidates automatically by default. Recruiters choose which resume-screened candidates should receive an interview by clicking Send Interview Invite in AI Screened. Before sending invites, review the job's Interview settings so Ryan has the right role context, candidate FAQs, custom questions, notification recipients, and candidate email wording.

You can send an invite from a candidate profile or from the job page. After selecting candidates, AI Screened shows a confirmation dialog. Review the candidate count, skipped candidates, and credit information, then click Send invites. If a selected candidate is missing an email address, AI Screened skips that candidate and shows the issue before sending.

After an invite is sent, the candidate receives an email invitation to schedule an AI phone screen. Ryan handles scheduling, sends the confirmation and reminder, calls the candidate at the scheduled time, and runs the interview. Only completed interviews count toward interview credits.

Optional automations

Automations are optional. Turn them on only after the manual workflow is working and your team is ready for AI Screened to take repeatable actions for matching candidates.

Go to Settings > Automation to create an automation. Automations run once an hour. They can act on existing matching candidates, be limited to specific jobs, include a per-job limit, and be turned on or off. If an automation sends interview invites, Greenhouse writebacks still depend on the Greenhouse integration settings.

After a candidate completes an AI Screened interview, AI Screened can write interview tags and custom fields back to Greenhouse when the integration has permission and Candidate updates allow it. Common interview tags include Screened Call - Proceed, Screened Call - Proceed With Caution, and Screened Call - Do Not Proceed.

After candidates complete AI Screened interviews, AI Screened tracks your team's progress and decisions. Use this data to refine your screening process.

Troubleshoot common issues

Candidates are not appearing in AI Screened

Confirm the Greenhouse job has been added to AI Screened, the candidate is in the configured intake or read-from stage, and the candidate has a readable resume attached. After fixing the job, stage, or resume, click Sync in Settings > ATS.

Results are visible in AI Screened but not in Greenhouse

Review Candidate updates in Settings > ATS. Make sure Tags to post and Notes to post include the update type you expect. Also confirm that the connected Greenhouse user has permission to create or update the relevant tags, notes, and custom fields.

Stage movement is not happening

Stage movement only happens when Stage Mapping is set to Custom, the relevant 'Move to' field is filled in, and the candidate reaches the configured event. Blank 'Move to' fields mean AI Screened does not move candidates for that event.

The integration has limited permissions

Ask a Greenhouse admin to reconnect with full permissions. Limited permissions can block job sync, webhook setup, custom field creation, tags, notes, or candidate movement.

The note author looks wrong

Post notes as controls which Greenhouse user appears as the author of AI Screened notes. In Settings > ATS, choose a valid Greenhouse user and save again.

Resumes are missing or unreadable

AI Screened needs a readable resume before it can run resume screening. If the resume is missing or unreadable, Greenhouse may show Screened Error - Missing Resume or Screened Error - Resume Unreadable.

Screening is not starting

Check that the AI Screened job is active, resume screening is not paused, resume screening credits are available, and the candidate has not already been screened for the same job.
