Alliance background provides fully customizable screening solutions including criminal background checks, education, employment and licensure verifications, reference checks, drug screening and occupational health screening, for domestic and international subjects. 

Alliance Background’s integration with Greenhouse Recruiting allows employers to launch a background check portal to be sent to candidates once they have accepted the job offer and marked as hired.

Set up the Alliance background integration

Create a web hook

To integrate Alliance Background with Greenhouse Recruiting, you’ll need to create a web hook. Follow the steps in this article to create your web hook. Use the values listed below to configure the web hook:

  • Name: A descriptive name for your integration. Most customers choose ‘Alliance Background integration'
  • When: Candidate has been hired
  • Endpoint URL: The Endpoint URL provided by Alliance Background
  • Secret Key: The Secret Key provided by Alliance Background

When finished, click Save.

Use the Alliance background integration with Greenhouse Recruiting

Submit candidates for a background check

After setting up the Alliance background web hook, the integration will be ready for use. 

Orders will be launched into Alliance whenever a candidate is moved to the Hired Stage. The system will flag duplicate orders and submit in draft mode if ordered within a specified time frame (9 days default) This time frame may be customized.

To submit a candidate to Alliance Background to launch the Candidate portal process, you'll need to first mark the candidate as hired.

When candidates are marked as Hired in Greenhouse Recruiting, the following data points will be sent to Alliance Background: 

  • First Name
  • Last Name
  • Middle Name
  • Email Address
  • Phone Number
  • Home Address

Additional fields may be mapped to Billing ID fields in Alliance Background to help with organizing invoices. 

Your Alliance Background Account manager will work with you during implementation to review your notification preferences, portal expiration times and how to review candidate supplied information prior to running the background check.

Additional configuration

Enabling access to your organization's account using Greenhouse Recruiting's Harvest API will allow Alliance Background to post back status updates into Greenhouse.

This optional setup will send the following status updates on the process of the background check: 

  • Pending Candidate - Candidate has received the link to the applicant portal and we are awaiting their completion.
  • Pending Recruiter - Orders submitted in draft mode that require the recruiter to activate the order in Alliance Background
  • Pending Alliance - Orders in process
  • Complete

Alternatively, Alliance will send status updates via email to the ordering user.
