Candidates are often juggling many priorities at once. Set them up for success and streamline your own workflow by setting an automated email reminder, which they'll receive 24 hours before the interview.
Overview
Candidate interview reminders are sent 24 hours before the scheduled interview.
By default, reminders are sent from Greenhouse Recruiting's no-reply email address and cannot be edited. Reminders contain the following information about each interview:
- Company name
- Candidate name
- Interview name
- Interviewer name
- Date
- Time
- Location or video conferencing link
Note: Zoom Personal Meeting IDs are not supported in candidate interview reminders. If a personal meeting ID is used for an interview, it will not be included in the reminder to the candidate.
Zoom meeting IDs generated by Greenhouse Recruiting are supported and will be included in the reminder.
Set a candidate interview reminder
Candidate interview reminders can be activated at each interview stage.
To set a reminder, navigate to an interview stage. Click Set interview reminder.
Note: Reminders can only be set if the interview is more than 24 hours in the future. The option to set an interview reminder won't appear if the interview is fewer than 24 hours away.
In the pop-up window that appears, click Set reminder.
To see the reminder the candidate will receive, click Preview reminder.
Note: By default, reminders are sent from a no-reply email address and cannot be edited.
After you set the reminder, the interview reminder details are shown in the stage.
Note: Candidates receive only one interview reminder per stage. For example, if a candidate has multiple interviews scheduled for a stage (such as an onsite interview with several different meetings) they'll receive only one reminder containing information about each scheduled interview.
Set a reminder when confirming an interview
You can also set an interview reminder when you’re confirming the candidate’s interview.
In the interview confirmation email window, check the box next to Send interview reminder 24 hours before the scheduled interview.
Cancel a reminder
You can manually cancel an interview reminder before it's been sent. When you cancel the reminder, the candidate is not notified.
If an interview is canceled, the interview reminder is automatically canceled.
To cancel a candidate's interview reminder, navigate to the interview stage. Below the Interview reminder details, click Cancel.
In the pop-up window, click Cancel reminder.
After you’ve canceled the interview reminder, it’s removed from the stage.
You can set the interview reminder again if the interview is at least 24 hours in the future.

What information is in the reminder?
The reminder email cannot be edited. By default, it includes the following information about each interview:

You can view the reminder by clicking Preview reminder when you set the reminder.
Can I edit the reminder email?
No, the interview reminder cannot be edited.
I don't want interview names to be included. How do I remove them?
Interview names can't be removed from the reminder, but you can rename an interview to use a different name.
What address is the email reminder sent from?
By default, the reminder is sent from a no-reply email address.
If the interview is rescheduled, is the reminder automatically adjusted to be sent for the new interview time?
It depends on whether the original interview reminder had been sent when you rescheduled.
If the interview reminder was not sent, it will be sent for the rescheduled interview.
If the interview reminder was sent, it will not be sent for the rescheduled interview. You can set the interview reminder again if the interview is at least 24 hours in the future.
Can I set candidate interview reminders for all candidates or stages in one bulk action?
Candidate interview reminders can only be set individually for each candidate at each stage.
My candidate only received one reminder, but they have more than one interview scheduled.
Candidates receive one reminder per stage. If a single stage contains several interviews (such as an onsite stage that includes interviews with multiple team members), the candidate receives only one reminder email containing information about each interview in the stage.
The example below shows an interview reminder for a stage that contains three separate interviews.
