Elva is a relocation platform for companies hiring internationally. Elva runs the whole move for a new hire, from immigration and permits to housing, banking, registration appointments and the family's arrival, in one place that the employee, the employer and Elva's relocation team all share.
Elva's integration with Greenhouse Recruiting allows you to start a relocation automatically the moment a candidate is marked as hired. When an offer is flagged as needing relocation, Greenhouse sends the hire to Elva, Elva prepares a relocation case with everything Greenhouse already knows about the candidate, and the people responsible for that country are emailed a link to complete it. No one retypes candidate details, and nothing has to be exported from Greenhouse by hand.
Before you begin
Before starting the integration, contact support@withelva.com. A dedicated Elva solutions engineer will be assigned to your account and will guide you through each step below, review your Greenhouse configuration with you, and make sure the first hires flow through correctly.
You will need:
- An Elva account, with the organization admin role, to connect Greenhouse.
- A Greenhouse Site Admin to approve the connection. Elva then creates the webhook and the offer fields itself, so nothing is set up by hand in Greenhouse.
Set up the Elva integration
Connect Greenhouse from Elva
In Elva, go to Settings > Integrations and scroll to the Greenhouse card. Click Connect with Greenhouse.
Approve Elva in Greenhouse
Greenhouse opens and asks you to authorize Elva. Log in to Greenhouse as a Site Admin. Tick Authorize using a service account, then click Authorize. Use the service account if you can: a connection approved as a person stops working when that person leaves the Greenhouse account.
Elva asks for access to:
- Custom fields and custom field options (list and create), so Elva can add its offer fields.
- Webhooks (list, create and update), so Elva can create the webhook that tells it about each hire.
When you approve, Greenhouse sends you back to Elva, and Elva creates the webhook and the offer fields in your Greenhouse account. The Greenhouse card then shows three checks:
- Connected: who approved the connection.
- Webhook live: when Greenhouse last reached Elva. Until the first delivery arrives, the card shows Webhook not yet verified. It is confirmed with the next hire.
- Offer fields ready: the Elva fields your recruiters fill in on the offer are in place.
Note: If Elva later loses access, for example because the approval was removed or the person who approved it left, the card shows Reconnect needed. Click Reconnect Greenhouse to approve again.
If the card shows Offer fields need attention instead, one of the Elva fields could not be set up, for example because your account already has an offer field with the same name but a different type. The card names the field and says what to change in Greenhouse. Make the change, then click Check again on the card.
Check the Elva offer fields
Elva creates five custom fields on the offer when you connect, so there is nothing to create by hand. The relocation field is what tells Elva a hire needs a relocation; the rest prefill the case so your mobility team can continue.
To see them in Greenhouse Recruiting, click the Configure icon on your navigation bar, then click Custom Options on the left and select Offers.
| Field name | Field type | What Elva uses it for |
| Elva relocation | Yes/No | Tells Elva this hire is relocating. Without it, Elva creates nothing |
| Elva destination country | Single select | The country the employee is moving to. Drives the relocation plan |
| Elva citizenship | Multi select | Every passport the employee holds. Decides permit type |
| Elva current country of residence | Single select | Where the employee is moving from |
| Elva notes | Long textbox | Free text passed to the Elva relocation team |
Keep the following in mind:
- Elva never replaces an offer field you already have. If an offer field with one of these names already exists with the right type, Elva uses it and adds any options it is missing. Disconnecting Elva leaves the fields in place.
- Marking the fields required is optional. A field left unanswered simply reaches Elva empty, and your team completes it in Elva. That is safer than a recruiter guessing an answer to get past a required field.
Use the Elva integration with Greenhouse Recruiting
Mark a candidate as hired
When a recruiter creates the offer for a candidate who is relocating, they answer the Elva fields on the offer. For example, for Priya Raghunathan, hired as a Software Engineer:
- Elva relocation: Yes
- Elva destination country: Finland
- Elva citizenship: Australia, India
- Elva current country of residence: Norway
- Elva notes: Has a cat
The integration runs when the recruiter clicks Mark as hired on the candidate's profile. No other action is needed in Greenhouse.
What happens next
- Greenhouse sends the hire to Elva.
- If Elva relocation is set to Yes, Elva creates a relocation draft prefilled with everything the hire carried. If it is not, Elva records nothing.
- Elva emails the people responsible for that destination country in your Elva workspace a link to complete the relocation.
- Whoever receives the link opens it, adds the remaining details that Greenhouse does not hold, such as the relocation package and family members, and submits it.
- Elva creates the case, the employee's account and their relocation plan, and the employee is invited into Elva.
Note: A hire is only ever turned into one relocation. If Greenhouse resends the same hire, or the same person is hired again, Elva reuses the existing relocation instead of creating a second one.
What information is shared with Elva
| From Greenhouse | Used in Elva as |
| Candidate first and last name | The employee's name |
| Candidate email address | The employee's email address, used to invite them to Elva |
| Candidate phone number | Added to the relocation notes |
| Job name | The employee's job title |
| Offer start date | The employment start date |
| Elva relocation | Whether a relocation is created at all |
| Elva destination country | The destination country |
| Elva citizenship | The employee's citizenships |
| Elva current country of residence | The country the employee moves from |
| Elva notes | Additional context for the relocation team |
Nothing else is read from Greenhouse, and Elva does not write anything back into Greenhouse. Any other details regarding the relocation are filled in Elva.
If something isn't working
Contact support@withelva.com and your Elva solutions engineer will investigate with you. Elva monitors deliveries from Greenhouse, so in most cases Elva will have reached you first.
Two things are worth checking yourself:
- The card still shows Webhook not yet verified after a hire - Greenhouse pauses a webhook whose test delivery fails. Elva switches it back on when you connect. If the card has not changed after a candidate was marked as hired, click Disconnect on the card and then Connect with Greenhouse again, or contact support@withelva.com.
- A hire did not start a relocation - Confirm that Elva relocation was set to Yes on the candidate's offer before they were marked as hired. A hire whose offer does not say Yes is treated as a non-relocation.
