AB Global integration

AB Global provides background, drug, occupational health and drug test screening services from a single Greenhouse integration allowing organizations to streamline their recruiting and hiring processes and make more informed decisions relative to candidates being considered. AB Global also provides post hire monitoring of employee credentials, motor vehicle records and criminal record checks to ensure organizations are hiring and maintaining a compliant workforce.

AB Global’s bi-directional integration with Greenhouse Recruiting allows users to initiate a background screening request from a candidate profile and view status updates on the order request as it progresses. These status updates are posted back to the activity feed and can be posted back to the candidate profile and application as well should the client want any or all of these areas to be updated. When the order is complete the user is able to simply click on a link within the Greenhouse candidate profile and then he/she will be navigated to the final report within their AB Global account to review.

Configure the AB Global background screening integration

Within the client’s AB Global account, the setup process is as follows:

Enable the integration and approve the required scopes

Log in to your AB Global dashboard and select My Account.

Next, click the Account Management tab to expand it.

Under the Company section, click the Connect button next to “Greenhouse Connection”.

You’ll then be redirected to an authorization page to approve the required scopes. You’ll enter your email address (the email address you use to log in to Greenhouse) and click Log in to Greenhouse.

Once logged in, you will check the Authorize using a service account box, then click Authorize.

You will be presented with a message confirming that your account is now successfully connected. The AB Global side of the setup is now complete. You can simply close out of this screen and move on to the Configure Greenhouse Recruiting section.

This completes the integration setup within the client’s AB Global account.

Configure Greenhouse Recruiting

Configure the webhook

From your Greenhouse Recruiting dashboard, click on the gear/Configure icon in the upper right-hand corner and navigate to Dev Center > Webhooks > Webhooks.

Populate the fields on the Create A New Webhook screen as follows:

• Name this webhook: AB Global Background Integration
• When: Candidate has changed stage
• Endpoint URL: https://YOURACCIODOMAIN.com/c/p/greenhouse_harvest_partner?Account=SAMPLEACCOUNTCODE&User=SAMPLEUSERNAME&Key=SAMPLESECRETKEY - your AB Global Client Concierge or Implementation Team will provide the necessary values for the Endpoint URL.
• Secret key: This will be the Secret Key from the above endpoint, everything after Key=
• Error recipient email: Optional, can be left blank
• Associated Partner: AB Global (from the picklist)
• Advanced setting: N/A
• Deactivated?: No

When you have finished entering the above information, click Create Webhook to save your changes.

Create the package field

From your Greenhouse Recruiting dashboard, click on the gear/Configure icon in the upper right-hand corner and navigate to Custom Options > Jobs.

Click Add field.

Populate the fields on the New job field screen as follows:

• Field name: Background Check Package
• Description: Optional, can be left blank
• Field type: Single select
• Options: Your AB Global Client Concierge and/or AB Global Implementation resource will provide this list, and you will copy/paste this in the following format:
  • Package 1
  • Package 2
  • Package 3
• Mark Private: Optional, can be left blank
• Mark Required: Optional, can be left blank but we do recommend making this required
• Expose in job board API: Optional, can be left blank
• Create new email token: Optional, can be left blank

When you have finished entering the above information, click Save.

The screen will refresh and you will now see the details for your newly created package field. Scroll down to the bottom of this screen and locate the Field key. Document the key as you will need to provide this to your AB Global Client Concierge and/or AB Global Implementation resource.

Create the custom status update fields (optional, but recommended for additional visibility)

From your Greenhouse Recruiting dashboard, click on the gear/Configure icon in the upper right-hand corner and navigate to Custom Options > Applications AND/OR Candidates (depending on where you’d like the status update fields to be housed in Greenhouse).

Click Add field.

Populate the fields on the New candidate field/New application field screen as follows:

• Field name: Populate the name of the field you’d like to create/see. Listed below are some of the more frequently created/used custom status update fields:
  • Background Check Status (will house status updates like In Progress Candidate, In Progress Vendor, and Background Check Completed)
  • Background Check ETA (will house the ETA of the overall order from AB Global’s system)
  • Background Check Report URL (will house the AB Global report URL)
  • Background Check Result (will house the result of the overall order upon completion, i.e., hits/clear/etc.)
• Description: Optional, can be left blank
• Field type: Short textbox (unless you’re creating a field to house the AB Global report URL, then select URL)
• Mark Private: Optional, can be left blank
• When should this field show up?: Candidate (only applies to application fields)
• Create new email token: Optional, can be left blank

When you have finished entering the above information, click Save.

The screen will refresh and you will now see the details for your newly created field. Scroll down to the bottom of this screen and locate the Field key. Document the key as you will need to provide this to your AB Global Client Concierge and/or AB Global Implementation resource.

Provide configuration information

Your AB Global Client Concierge and/or AB Global Implementation resource will need the following information to complete the configuration on the AB Global side.

• Name of Package Field (if different than the suggested field name – Background Check Package)
• Field Key for Package Field
• Field Keys for Custom Status Update Fields & Confirmation of Location (Application or Candidate) (if applicable)

Field mapping between Greenhouse and AB Global

The following fields are passed from Greenhouse to AB Global and mapped by default. Note, Greenhouse passes basic candidate data, so clients will need to utilize the AB Global candidate portal (or a draft mode workflow) to collect the rest of the information required to complete the background check requested.

Use the AB Global background screening integration with Greenhouse Recruiting

To submit a background check request, the requester will begin by selecting a candidate in Greenhouse and navigating to their candidate profile. Once in the candidate profile, the requester will click Move stage.

The requester will move the candidate to the desired stage, in this case, Background Check – and Greenhouse will submit the candidate information to AB Global.

A production-mode order is created in AB Global, and a status update is returned to Greenhouse confirming the order was received and is now awaiting candidate action.

At this point, the candidate will receive the portal invitation from the AB Global system.

Once the candidate completes the portal invitation, the order begins processing, and a status update is returned to Greenhouse.

By default, AB Global will return status update notes to the candidate’s Activity Feed as the order progresses. AB Global can optionally return status updates to defined fields under the candidate’s details and/or application details as shown on the example.

When the order is completed, a status update is returned to Greenhouse confirming completion.

The requester clicks the report link in Greenhouse and is redirected to AB Global. After entering login credentials, they land directly on the full report.
