Airbyte is a data integration platform that helps companies bring data from the business tools they already use - recruiting, sales, marketing, finance, product, and more - together in one place, such as a data warehouse or business-intelligence tool. Once the data is in one place, teams can build reports and dashboards that combine information from many systems. Airbyte Cloud is Airbyte's fully managed, web-based service, so there is nothing to install.
Airbyte's integration with Greenhouse Recruiting allows users to automatically copy their Greenhouse Recruiting data - jobs, job posts, openings, candidates, applications, interviews, scorecards, offers, approvals, users, departments, offices, and more - into the data warehouse or database of their choice, on a schedule they set. This makes it easy to build recruiting reports and dashboards, combine hiring data with data from other systems (for example HR, finance, or marketing tools), and keep a history of hiring activity for compliance and analysis. The integration only reads from Greenhouse: it never creates, changes, or deletes anything in your Greenhouse Recruiting account.
Configure the Airbyte integration
Before you start
- You need an Airbyte Cloud account. If you do not have one yet, sign up at cloud.airbyte.com (a free trial is available).
- The person who connects Greenhouse must be a Site Admin in Greenhouse Recruiting. If a user who is not a Site Admin authorizes the integration, Greenhouse will not allow Airbyte to read your data and the setup will fail.
- You need somewhere for the data to go - a data warehouse or database that Airbyte will copy your Greenhouse data into (for example Snowflake, BigQuery, Databricks, Redshift, or Postgres). If you already use Airbyte, you can reuse an existing destination.
Add Greenhouse as a source in Airbyte
Sign in to Airbyte Cloud and open the workspace where you want to add Greenhouse.
In the left-hand menu, click Sources, then click + New source.
Type Greenhouse in the search box and select Greenhouse.
Give the source a name, for example "Greenhouse". This is just a label so you can recognize it later.
Click Authenticate your Greenhouse account. A Greenhouse sign-in window opens.
Sign in to Greenhouse and authorize Airbyte
The Greenhouse window shows what Airbyte is asking permission to do. All of the permissions are view only - Airbyte can read your recruiting data but cannot change it. Enter the email address of your Greenhouse Site Admin account and click Log in to Greenhouse, then sign in as you normally would (including any verification code Greenhouse emails you).
After signing in, Greenhouse confirms which user and organization you are logged in as. Check that this is the right Greenhouse account (click Use a different account if it is not), then click Authorize. Leave all permissions selected - Airbyte needs each of them to sync the corresponding type of data. If your organization prefers integrations not to be tied to a specific person, tick Authorize using a service account so the connection keeps working even if your own user is later deactivated.
You are taken back to Airbyte Cloud, and a green Authentication succeeded! message confirms that Greenhouse and Airbyte are now connected. If you ever need to reconnect, the Re-authenticate button on this page runs the same steps again.
Finish setting up the source
Optionally, expand Optional fields:
- Start date - if you only want data from a certain date onwards (for example, the start of the current year), enter it here. Leave it empty to bring in your full Greenhouse history.
- Number of concurrent threads - how much data Airbyte reads at the same time. Most customers should leave the default (2). Lowering it to 1 is the first thing to try if syncs fail because Greenhouse is receiving too many requests.
Click Set up source. Airbyte tests the connection to Greenhouse and shows All connection tests passed! when everything is working. Your Greenhouse source is now saved.
Click Create a connection to choose where your data should go.
Good to know: Greenhouse's authorization stays valid as long as Airbyte syncs at least once a day. If a connection is paused or not syncing for more than about 24 hours, Airbyte will ask you to reconnect Greenhouse - simply open the source's Settings page, click Authenticate your Greenhouse account, and sign in again. Setting your sync schedule to run more often than once a day avoids this.
Integration service user, data changes, and field mapping
- Integration service user (ISU): not required. You authorize Airbyte by signing in as a Site Admin (or, optionally, with the Authorize using a service account option on the Greenhouse authorization screen).
- Data added or edited in Greenhouse: none. The integration is read-only. It does not add, edit, or delete candidates, applications, jobs, notes, or any other information in Greenhouse Recruiting.
- Field mapping: not applicable. Airbyte does not map Greenhouse fields to fields in another system. Your Greenhouse data is copied to your destination exactly as it appears in Greenhouse, using the same field names.
Use the Airbyte integration
Once Greenhouse is connected, everything happens in Airbyte Cloud - you do not need to do anything inside Greenhouse Recruiting. The main thing you will do is create a connection, which tells Airbyte which Greenhouse data to copy, where to put it, and how often to refresh it. After that, Airbyte keeps your destination up to date automatically.
Set up a connection to sync your Greenhouse data
In Airbyte Cloud, click Connections in the left-hand menu, then + New connection.
Under Define source, choose Select an existing source and pick the Greenhouse source you just created.
Under Define destination, choose where the data should go - an existing destination or a new one.
Under Select streams, Airbyte lists all of the Greenhouse data it can sync (see "What data is synced" below). Use the checkbox at the top to select everything, or tick just the items you need. You can expand any item to leave out individual fields you do not want copied.
Under Configure connection, choose how often Airbyte should refresh your data (the Replication frequency). We recommend every 12 hours or more often - this keeps your reports fresh and keeps the Greenhouse authorization active. If the same destination already receives data from another source, you can add a Stream prefix (for example "gh_") to keep the Greenhouse tables clearly named. Click Finish & Sync.
Airbyte starts the first sync right away and opens the connection's Status page, where you can watch each item complete and see how many records were copied. From now on, Airbyte refreshes the data on your schedule. You can also click Sync now at any time to refresh on demand, and the Timeline tab shows a history of every sync.
Common tasks
Refresh your data on demand. Open the connection in Airbyte Cloud and click Sync now. The Status page shows progress for each item, and the Timeline tab lists every past sync, including how many records were copied.
Change which data is synced. Open the connection, go to the Schema tab, tick or untick items or individual fields, and click Save changes. Airbyte applies the change on the next sync.
Change how often data is refreshed. Open the connection, go to Settings, and update the Replication frequency. Keep it at every 12 hours or more often so the Greenhouse authorization stays active.
Pause the integration. Use the Enabled/Disabled switch at the top of the connection page. If the connection stays paused for more than about a day, you will be asked to sign in to Greenhouse again when you turn it back on.
Reconnect Greenhouse. Go to Sources, open your Greenhouse source, click Settings, then Authenticate your Greenhouse account, and sign in as a Site Admin. Your existing connections keep working with no other changes.
What data is synced
Airbyte can copy the following information from Greenhouse Recruiting. Most items are refreshed incrementally - after the first sync, Airbyte only copies records that are new or have changed since the last sync, so syncs stay fast. Reference lists (such as departments or rejection reasons) are small and are refreshed in full each time.

Frequently asked questions
Who in my company should set this up? A Greenhouse Site Admin. Greenhouse only lets Site Admins authorize this kind of access. If someone else tries, the setup will fail with a permissions error - ask a Site Admin to reconnect.
Airbyte says I need to re-authenticate Greenhouse. What happened? Greenhouse authorizations expire if they are not used for about a day, for example if a connection was paused or kept failing. Open the Greenhouse source in Airbyte Cloud, go to Settings, click Authenticate your Greenhouse account, and sign in again. Scheduling syncs to run more often than once a day prevents this.
My sync shows a permissions error on some items. Either the person who authorized Airbyte is not a Site Admin, or a permission was unticked on the Greenhouse authorization screen. Reconnect Greenhouse as a Site Admin and leave all permissions selected.
My sync fails because Greenhouse is receiving too many requests. Greenhouse limits how quickly any integration can read data. Open the Greenhouse source's Settings in Airbyte Cloud and lower Number of concurrent threads to 1, or sync fewer items. Airbyte automatically slows down and retries when it hits this limit, so occasional messages in the log are normal.
Can I choose which fields are copied? Yes. When selecting data for a connection, expand any item to untick fields you do not want in your destination.
Does the integration write anything back to Greenhouse? No. It only reads data.
