ProvenBase is an AI-powered talent sourcing platform that helps recruiting teams discover, verify, and engage best-fit candidates. ProvenBase finds candidates across the open web, enriches them with verified contact details and a structured profile, and manages outreach - so recruiters spend their time talking to people, not hunting for them.
ProvenBase's integration with Greenhouse Recruiting allows users to export sourced candidates from ProvenBase directly into Greenhouse - as an application on a job or as a prospect (optionally attached to a job, or placed in a prospect pool) - including the candidate's resume, contact details, and profile links.
Configure the ProvenBase integration
Permissions: Site Admins, or users who can manage ALL organization's API credentials
The Greenhouse user who authorizes the connection must have this permission. No other Greenhouse configuration is required.
In ProvenBase, open Settings > Integrations (the Workspace section of the settings sidebar), scroll to Applicant Tracking Systems, find Greenhouse (V3), and click Activate.
A secure connection window opens with the permission summary. Click Continue, then Sign in with Greenhouse (V3).
Review the permissions the integration requests, sign in with your Greenhouse credentials, and click Authorize.
You are returned to ProvenBase. The connection activates automatically within a few seconds and Greenhouse (V3) shows as Connected. Optionally, enable syncing your Greenhouse candidates to ProvenBase so profiles already in your ATS are flagged during sourcing.
That's it - no Harvest API key and no per-endpoint permission checklist.
To disconnect: in Greenhouse, go to Configure (gear) > Dev Center > Connected Integrations, open the integration and click Disconnect to revoke access (immediate) - or disconnect from the ProvenBase integrations page. You can reconnect at any time by repeating the steps above.
Data ProvenBase reads and writes
ProvenBase creates candidates, applications, and resume attachments in Greenhouse. It does not delete Greenhouse data.
Fields ProvenBase writes when exporting a candidate:

Data ProvenBase reads: your open jobs and their interview stages, users, prospect pools and their stages, and custom application fields - used to populate the pickers in the export dialog. If you enable candidate sync during setup, ProvenBase also reads candidates and applications to flag profiles that already exist in your Greenhouse account.
Use the ProvenBase integration
Export a candidate to a job
In ProvenBase, go to Projects, open your project, and switch to the Candidate List tab. Select one or more candidates - a bulk-actions toolbar appears above the list.
Click Export and pick Greenhouse (V3) from the Export Profiles menu. Review the profile fields to send, then click Export in the top-right corner.
In the export options dialog, choose To a job. Pick the Greenhouse job (your open jobs are listed) and, optionally, an interview stage from that job's own pipeline.
Click Export. The candidate is created in Greenhouse as an active applicant on that job, with their resume, contact details, and profile links attached.
Export a candidate as a prospect or to a prospect pool
Prospects let you add promising candidates to Greenhouse without applying them to a job. ProvenBase supports all three Greenhouse prospect flavors:
- Prospect - a jobless prospect (no job, no pool).
- On a job - a prospect attached to a job (not an active applicant).
- Pool - a prospect placed in a prospect pool, optionally in a specific pool stage.
Select candidates and click Export > Greenhouse (V3), then choose the prospect mode you need.
For Pool, pick the prospect pool and (optionally) the pool stage - your Greenhouse pools are listed automatically.
Click Export. The candidate appears in Greenhouse as a prospect - in the selected pool - with their resume attached.
Track exported candidates in ProvenBase
After a successful export, the candidate's card in ProvenBase gets a Greenhouse label, so everyone on your team can immediately see which candidates are already in your ATS - no double exports, no guesswork.

FAQ
- Which Greenhouse permissions do I need to connect? You must be a Site Admin or a user who can manage ALL organization's API credentials.
- We connected ProvenBase with a Harvest API key earlier - do we need to switch? Yes. Greenhouse retired the Harvest v1/v2 API on August 31, 2026. Reconnect using the one-click OAuth steps above; previously exported candidates are unaffected.
- How do I revoke access? In Greenhouse: Configure > Dev Center > Connected Integrations > disconnect the integration. Revocation is immediate.
- An export failed saying the connection needs to be reconnected. The OAuth connection was revoked or expired - repeat the Configure steps above to reconnect, then retry the export.
