The Findem integration allows you to access candidate information, boost collaboration, and view all applicant data in both Findem and Greenhouse without having to switch between platforms. The Findem Greenhouse integration is a bi-directional sync that allows for communication between the two platforms.

Findem's integration with Greenhouse Recruiting allows users to:

  • Save time and worry knowing that up-to-date candidate information is displayed in both Findem and Greenhouse
  • View all hiring/recruiter notes and attachments in Greenhouse for a complete view of your candidate interactions
  • Automatically create or update a candidate profile within Greenhouse when a candidate responds to an email message

Configure the Findem Greenhouse integration

Before you begin

You must be a Findem administrator and a Greenhouse Site Admin.

Connect Greenhouse for the first time (Partner v3)

Sign in to Greenhouse.

In Findem, open Settings > Integrations > ATS. Select Greenhouse, then choose Start Setup or Resume Setup.

Confirm that you are a Greenhouse administrator by selecting Yes, I am. If you are not an administrator, select No, I'm not and ask an administrator to complete the setup.

Review the data Findem can read and write, then select Continue. The requested access supports candidate and application synchronization, attachments, notes, activities, tags, custom fields, jobs, users, stages, sources, scorecards, interviews, and disposition actions.

On Authorize with Greenhouse, select Authorize with Greenhouse. A separate Greenhouse authorization window opens.

If prompted, sign in to Greenhouse. Review the requested Harvest permissions. For a production connection, select Authorize using a service account, then select Authorize.

Greenhouse redirects the authorization window to Findem with a short-lived authorization code. Findem exchanges the code for tokens, closes the authorization window, and tests the connection.

When the connection test succeeds, start the initial synchronization. You can close the setup after Findem confirms that synchronization has started.

Review the Greenhouse Harvest v3 permissions. For a production connection, select Authorize using a service account, then select Authorize.

Data Findem reads from Greenhouse

  • Candidates: Greenhouse candidate ID, first and preferred name, last name, company, title, email addresses, phone numbers, addresses, websites, social profiles, tags, privacy/email flags, time zone, linked users, timestamps, and candidate custom fields.
  • Candidate history: employment company/title/start and end dates; education school/degree/discipline/start and end dates.
  • Applications and prospects: application ID, candidate and job IDs, applicant/prospect status, current stage, source, referrer, recruiter, coordinator, application answers, applied/created/updated/activity dates, location, application custom fields, rejection date, rejection reason, and rejection details.
  • Attachments and interactions: resumes and other attachments, candidate notes, emails, activities, interviews, scorecards, and stage history.
  • Jobs: job ID and name, requisition ID, status, notes, confidentiality, offices, departments, location, hiring team, dates, and job custom fields.
  • Users and reference data: user ID, name, email, site-admin status, employee ID, job permissions, roles, stages, sources, rejection reasons, tags, and custom-field options.

Data Findem adds or edits in Greenhouse

  • Candidate records: create or update first name, last name, company, title, email addresses, phone numbers, addresses, website and social links, employment history, and configured custom fields.
  • Applications and prospects: create an application or prospect for selected job(s), including source, initial stage, referrer, and prospect status when applicable.
  • Candidate tags: create missing tag definitions when permitted and append Findem or customer-selected tags without replacing existing Greenhouse tags.
  • Attachments and notes: add resumes and other selected attachments, candidate notes, and supported Findem campaign email activity.
  • Application disposition: move an application to a selected stage, or reject it with a rejection reason and note. When selected, Findem can also use a Greenhouse rejection email template, sender, and scheduled send time.

What does the integration do?

Candidate export

You can export candidate data directly to your ATS profiles. Candidate profiles can be exported independently or combined with an application directly to a job requisition. At a minimum, profiles will contain:

  • Contact info
    • First name, last name
    • Phone number(s)
    • Email address(es)
    • Location
  • Social media and website links
  • Current company
    • Company name
    • Job title
  • Tags
  • Previous work experience

(All fields populate when applicable.)

Findem-specific items that also get exported:

  • Attachments added to the profile before export
  • Notes on the candidate
  • Findem campaign emails to the email activity feed

Application review and disposition

Findem allows recruiters to discover, score, and prioritize applicants for any open role. Efficiently review candidate profiles and disposition applications with just a few clicks.

Your ATS data is mirrored in Findem and enriches a candidate's profile with their ATS history. Candidate statuses, stages, rejection reasons, and more are recorded so you have a full picture of your company's engagement. Search and filter to find past applicants that are qualified for open roles.

Using the Findem integration with Greenhouse

Information exported to Greenhouse Recruiting

You can view the complete profile, email responses, and attachments for any candidates exported from Findem to Greenhouse ATS.

Once candidate information is exported to Greenhouse Recruiting from Findem, it can be found on the candidate's profile in Greenhouse Recruiting (All Candidates > Select Candidate).

  • A candidate's personal details are on the Details tab.
  • Findem Search Tags are added as Candidate Tags.
  • Any email attachments are available in the Attachments window.
  • A candidate's email reply is included in the Activity Feed tab.

Candidate volume

Findem recommends that a candidate population of a million records will take approximately 48 hours to load. If you have approximately a million candidate records, please make that clear to the Findem project team to help set expectations for candidate loading.

How long does it take for data to synchronize?

Findem syncs applications, jobs, and attachments approximately every hour, but the process can take up to 2 hours depending on the number of candidates. During this time, new candidates or changes in candidate status might not be immediately reflected in the Findem platform. Users can also manually trigger a sync using the "sync now" option to ensure the most up-to-date information is displayed.
