Emissary is a text recruiting platform for talent acquisition teams. Recruiters send and receive SMS messages with candidates from a shared inbox, run bulk and drip campaigns, and keep a complete, auditable record of every conversation.
Emissary's integration with Greenhouse Recruiting allows users to sync their Greenhouse candidates into Emissary, text those candidates directly from Emissary, write each conversation transcript back to the candidate's profile in Greenhouse Recruiting as a PDF attachment and a note, and automatically text candidates when they are moved to a new stage.
Configure the Emissary integration
Before you begin
You must be a Greenhouse Recruiting Site Admin with permission to manage the organization's API credentials in order to authorize the connection.
You must be an Owner or Admin in Emissary.
Configure the integration
Sign in to Emissary at app.emissary.ai.
In the left-hand navigation, click Integrations.
Click Add integration and select Greenhouse from the list of supported systems.
Click Connect to Greenhouse. Emissary redirects you to Greenhouse Recruiting to authorize the connection.
Sign in to Greenhouse Recruiting with a Site Admin account if you are prompted, review the permissions Emissary is requesting, and click Authorize.
Greenhouse Recruiting returns you to Emissary's Integrations page, where Greenhouse is now listed as Connected.
Permissions Emissary requests
When you authorize the connection, Greenhouse Recruiting grants Emissary the following Harvest v3 scopes:

harvest:candidates:list- read candidates so Emissary can match them to text conversations. -
harvest:candidates:create- create a candidate in Greenhouse Recruiting when a recruiter sources someone in Emissary. -
harvest:applications:list- read applications to identify a candidate's job and current stage. -
harvest:users:list- read users so transcripts and notes are attributed to the correct recruiter. -
harvest:notes:create- add a note to the candidate when a transcript is uploaded. -
harvest:attachments:create- attach the conversation transcript PDF to the candidate's profile. -
harvest:webhooks:list,harvest:webhooks:create,harvest:webhooks:destroy- register and maintain the candidate stage change webhook that triggers Emissary's automated stage messages.
What Emissary writes to Greenhouse Recruiting
- Attachments - a PDF transcript is added to the candidate's profile, named "Emissary Transcript Thread:<thread ID> <date>".
- Notes - a note is added to the candidate when a transcript is uploaded, attributed to the candidate's recruiter.
- Candidates - a candidate record is created only when a recruiter explicitly sources a new candidate from Emissary. Emissary sends the candidate's name, phone number, and email address.
- Webhooks - one webhook named "Emissary stage change", subscribed to the candidate stage change event, is created when the integration is connected.
Emissary does not edit or delete existing candidate fields, applications, scorecards, offers, or stages.
Field mapping
Emissary reads the following fields from each Greenhouse Recruiting candidate:

first_name,last_name- the candidate's name in Emissary. -
phone_numbers- the number Emissary texts. Emissary prefers the candidate's mobile number and falls back to the first valid number on the record. -
email_addresses- the candidate's email address in Emissary. -
id- stored on the Emissary candidate record so transcripts and notes are written back to the correct profile. -
recruiter(name and email) - routes the conversation to that recruiter's Emissary inbox and attributes notes and attachments. -
application.current_stage.name- used to decide whether a stage change should trigger a message.
Reconnect the integration
If the authorization is revoked in Greenhouse Recruiting or expires, Emissary marks the integration as "Reconnect required" and stops syncing. To restore the connection, repeat the configuration steps above.

Text a candidate from Emissary
Emissary syncs candidates from Greenhouse Recruiting on a recurring basis. The first sync pulls candidates with activity in the previous 180 days; later syncs pull candidates whose activity has changed since the last run.
- In Emissary, open the inbox for your team.
- Search for the candidate by name or phone number.
- Open the conversation and send your message. Replies arrive in the same thread in Emissary.
View a text transcript in Greenhouse Recruiting
Candidate conversations upload to Greenhouse Recruiting nightly, providing a full day's worth of conversation at a time. The note displays the latest message and includes a link to download the full conversation transcript.
- In Greenhouse Recruiting, navigate to Candidates and select the candidate.
- Click the Details tab.
- Scroll to the Notes section and locate the note from Emissary.
- The note displays the latest messages and includes a link to download the full conversation transcript as a PDF.
Automatically text candidates when they change stage
When the integration is connected, Emissary registers a webhook in Greenhouse Recruiting named "Emissary stage change" and subscribes it to the candidate stage change event. When a candidate is moved to a new stage, Emissary texts that candidate from their recruiter's inbox.
The default message is: Hi {name}! There was an update on your hiring process. Just moved to stage "{to_stage}".
Emissary support can tailor this behavior for your organization:
- Restrict messages to a specific set of stages instead of every stage transition.
- Set a custom message per stage, or a custom message per stage for an individual recruiter.
- Use the merge fields
{name}(candidate's full name),{recruiter}(recruiter's full name), and{to_stage}(the stage the candidate moved to).
A message is sent only when the candidate has a valid mobile number and an assigned recruiter with an Emissary inbox.
Capture messaging consent
US carrier rules for application-to-person (A2P) messaging require candidates to opt in before you text them. Emissary recommends collecting that consent on the application itself:
- In Greenhouse Recruiting, create a custom Yes/No application question asking candidates for permission to contact them by text message.
- Add the question to the job posts whose candidates you plan to text.
- Text only the candidates who answered Yes.
