Nova is an AI recruiting platform for in-house talent teams. Nova reviews every inbound applicant against the requirements of the role, searches a company's existing candidate records for people worth revisiting, and returns a score with the evidence behind it, so recruiters spend their time on the candidates most likely to succeed rather than on reading resumes.
Nova's integration with Greenhouse Recruiting allows users to sync their jobs and applications into Nova, screen and score applicants automatically as they apply, search candidates already in Greenhouse for a match to an open job, and write Nova's score, labels, and assessment notes back onto the Greenhouse application so recruiters can review and filter results without leaving Greenhouse.
Configure the Nova integration
Prerequisites
- A Nova account. If your organization does not have one, contact nova@dweet.com.
- A Greenhouse Recruiting user with the Site Admin permission level to authorize the connection. Greenhouse requires Site Admin to grant a Harvest integration.
Full setup guide can be found here.
In Nova, open Settings, select Integrations, and choose Greenhouse. Then proceed through the flow until you return back to Nova.
On connection, Nova automatically creates two custom application fields in your Greenhouse account if they do not already exist:
- Nova Score: a number field that holds the score Nova gives an application.
- Nova Tags: a multi-select field used for optional job-specific score labels.
You can view them in Greenhouse under Configure, Custom Options, Custom Fields, Application. No manual setup is required.
After the integration is complete, Nova begins syncing your jobs and applications and scores new applicants as they arrive once you enable Nova on a role.
Permissions Nova requests, and why
The consent screen groups the permissions Nova requests. Each group maps to a part of the integration:
| Permission group | What Nova uses it for |
| Read jobs, job posts, and interview stages | Know which roles are open, what each role requires, and which stages exist so Nova can match its work to your pipeline |
| Read applications, candidates, and attachments | Read the application, the candidate record, and the resume in order to screen the applicant |
| Read departments, offices, sources, referrers, users, rejection reasons, and rejection details | Reference data Nova displays alongside a candidate, and the reason a past applicant was rejected so Nova does not resurface someone who was already declined for that reason |
| Read and write application custom fields and their options | Create and maintain the Nova Score and Nova Tags fields, and write results into them |
| Read and write candidate tags | Apply Nova's own labels to a candidate, for example a score band |
| Read and create notes | Post Nova's assessment on the candidate |
| Move applications between stages | Advance an application, only when a recruiter confirms the action in Nova |
| Create candidates and applications | Add a candidate that a recruiter sourced in Nova into a Greenhouse job, only when the recruiter chooses to |
| Manage webhooks | Register and maintain Nova's own event subscriptions so updates reach Nova promptly. Nova only manages webhooks it creates |
Greenhouse data Nova writes
Nova only writes to the fields listed below. Nova does not modify any other candidate or application data.
| Field or record in Greenhouse | Action Nova takes | When it happens |
| Nova Score custom application field | Writes a number from 1 to 10 | Each time Nova scores an application |
| Nova Tags custom application field | Adds a label such as "REQ-123 - 8/10" | Each time Nova scores an application, if job-specific score labels are enabled |
| Candidate tags | Creates and applies Nova-named tags, for example a score band | Each time Nova scores an application |
| Note on the candidate | Creates a note containing Nova's assessment | Each time Nova scores an application |
| Application stage | Moves the application to another stage | Only when a recruiter confirms the action in Nova |
| Candidate and application | Creates a new candidate and application on the job | Only when a recruiter adds a sourced candidate to Greenhouse from Nova |
Nova does not delete candidates, applications, jobs, or any field it did not create. Nova skips scoring for candidates who have already been rejected.
Use the Nova integration
Screen inbound applicants
This is the default behaviour once the integration is connected. No recruiter action is required to start it.
- A candidate applies to one of your Greenhouse jobs.
- Nova syncs the application, reads the resume, application question answers and assesses the candidate against the requirements of that role.
- Nova writes the result back to Greenhouse: the score into the Nova Score field, its assessment as a note on the candidate, and its labels as candidate tags.
In Nova, you see the score together with the evidence behind it, so you can check the reasoning rather than trusting a number.
Filter candidates in Greenhouse by score
Because Nova writes the score into a Greenhouse custom field, you can filter on it from the Greenhouse Candidates page without opening Nova.
Filtering on Nova Score alone returns candidates who received that score for any job they applied to. If you need to filter by requisition and score together, enable job-specific score labels: Nova then adds a label such as "REQ-123 - 8/10" to the Nova Tags field, and filtering on that label finds the candidates who scored 8 for "REQ-123". Contact your account manager to enable this feature.
Anyone who can manage company settings can enable job-specific score labels in Nova, under the Greenhouse integration settings.
When Nova scores an application again, it adds the new label alongside the previous one. You can clear Nova's labels from Nova at any time.
Other things Nova can do with your Greenhouse data
Search the candidates already in your Greenhouse. Recruiters can search the candidate records already in your account to find people worth revisiting for an open role, instead of starting every search from scratch. Contact nova@dweet.com to enable this for your account.
Add a sourced candidate to Greenhouse. When a recruiter finds a candidate in Nova who is not yet in your Greenhouse account, they can add that candidate to a Greenhouse job from Nova.
Nova creates the candidate and their application on the job the recruiter chooses, and only when the recruiter chooses to. Contact nova@dweet.com to enable this for your account.
Frequently asked questions
Does Nova score every applicant?
Nova scores new applicants on the jobs you have enabled application screening on. Nova skips candidates who have already been rejected.
Who can authorize the integration?
A Greenhouse user with the Site Admin permission level. Greenhouse requires Site Admin to authorize a Harvest integration. Authorizing with a service account is recommended, so the connection belongs to your organization.
Can Nova change a candidate's data?
Nova writes only the fields listed under Greenhouse data Nova writes above. It does not edit the rest of a candidate or application record, and it does not delete anything it did not create.
What happens if the connection stops working?
Nova shows a reconnect prompt in its Greenhouse integration settings. Select it to re-authorize with Greenhouse. If the problem continues, contact nova@dweet.com.
