Visage is a recruitment platform that helps employers fill their open roles through sourced candidates. Employers publish a role, Visage sources and screens candidates against it through a combination of a recruiter network and direct sourcing, and the employer reviews the resulting shortlist.

Visage's integration with Greenhouse Recruiting allows users to import their Greenhouse jobs into Visage, source candidates against those jobs, and send interested candidates back to Greenhouse as applicants on the original requisition, with their resume, work history and education attached.

Configure the Visage integration

Before you begin

  • You must be a Site Admin in Greenhouse Recruiting, with permission to authorise partner integrations. If your organisation restricts who can grant access to third party applications, involve that person before starting.
  • You must be an account administrator in Visage.
  • Decide which Greenhouse user the integration should act as. Visage writes candidates and applications on behalf of an administrator of your Greenhouse account, and those actions appear under that user's name in Greenhouse. If you would prefer the integration to act as a dedicated user, create an Integration Service User first and follow Connect to Harvest v3 partner integrations.

Connect Greenhouse to Visage

In Visage, go to Settings. The ATS Integration section is on the Subscription tab.

Click Connect ATS, then choose Greenhouse. A connection window opens. Visage connects to Greenhouse through Merge, Visage's integration provider, so this window is branded Merge rather than Visage.

The connection window asks how you would like to authenticate. Choose Use my credentials. Do not choose Use my API key, which Greenhouse has deprecated and Visage does not support.

Greenhouse lists the permissions Visage is requesting. Review them, enter your Greenhouse email address, and click Log in to Greenhouse.

Once signed in, Greenhouse asks you to confirm. Leave Authorize using a service account selected: the connection then belongs to your organisation rather than to you personally, and keeps working if your own Greenhouse account is later deactivated. Click Authorize.

Greenhouse returns you to the connection window, which sets up the connection. This can take a few minutes. It then lists the data Visage can access. Click Next.

Back in Visage, the ATS Integration section now shows Greenhouse as connected.

After connecting

Greenhouse and Visage synchronise in the background. Your jobs become available for import within a few minutes of connecting. If your jobs do not appear straight away, wait for the first synchronisation to finish rather than reconnecting.

What Visage reads from your Greenhouse account

Jobs, job posts and their locations, departments, offices, openings, interview stages, applications, candidates, users and their roles, sources, and custom field options for degrees and disciplines.

What Visage never does

Visage cannot advance, reject or hire anyone, and does not request access to offers, scorecards, interviews, interviewers, notes, tags, email templates, demographic data or EEOC information. No permission to update or delete existing records is requested on any resource.

Note: The connection window groups these permissions more broadly than Greenhouse does. Greenhouse's own authorisation screen is the accurate one: Visage asks to create candidates, applications and attachments, and to read everything else.

Use the Visage integration

Import a Greenhouse job into Visage

In Visage, open My jobs and click Import job from ATS.

Select the Greenhouse job you want to source for, then click Import job. Visage imports its title, description, employment type, salary range and location.

Review the imported job and complete any Visage specific details before starting sourcing. Imported jobs are marked Synced with ATS in your job list, and the job header shows which Greenhouse requisition they came from.

Note: Only jobs that are open in Greenhouse and have a job post are offered for import.

The job's employment type and salary range are read from the corresponding Greenhouse custom fields. If your account has renamed or removed those fields, the job imports without them and you can fill them in within Visage.

Send a candidate to Greenhouse

Marking a sourced candidate as interested in Visage is what sends them to Greenhouse.

On the imported job's Profiles board in Visage, move the candidate to Profiles moved to Greenhouse. Visage asks you to confirm that the candidate consented to being added to your database, as GDPR requires.

Confirm, and the candidate moves to the Exported column. Visage then creates them in Greenhouse: the candidate is created in your Greenhouse account; an application is created for them on the Greenhouse requisition the Visage job was imported from; the application's source is set to Visage, so sourcing attribution is visible in your Greenhouse reporting; and their resume is attached to the application, along with their work history and education.

The candidate arrives as a regular applicant on the requisition, at your first interview stage, and follows your normal hiring process from there.

Fields Visage writes to Greenhouse

Visage only ever creates records. It never edits or deletes anything that already exists in your account.

A few points worth knowing about how these are filled in:

  • Degrees and disciplines must match your account's own options. Greenhouse only accepts degrees and disciplines from the lists configured in your account. Visage matches on the exact name, ignoring capitalisation. A qualification that does not match any of your options is left out rather than approximated, so the rest of the education entry still lands.
  • The school name is not sent. Greenhouse requires school names to come from its own catalogue, so Visage omits them rather than risk attaching the wrong institution.
  • Incomplete work history is left out. Greenhouse requires a company, a job title and a start date on every employment entry. An entry missing any of the three is skipped, and the rest of the candidate's history is still sent.
  • The Visage source. If your account does not already have a source named Visage, the application is created without a source and shows as "Source and referrer: --". Adding a source named Visage in Greenhouse fixes it for subsequent candidates.

Troubleshooting

The Greenhouse jobs I expect do not appear in Visage

Only jobs that are open in Greenhouse are offered for import. If a job is open and still missing, the first synchronisation may not have finished. Wait a few minutes and refresh.

A candidate reached Greenhouse without their resume, work history or education

The candidate and their application are created first, and the rest is added immediately afterwards. If something prevents one of those additions, the candidate is still created rather than being left out entirely. Contact Visage with the candidate's name, and they can tell you what happened.

My integration stopped working

If Greenhouse reports that the authorisation is no longer valid, reconnect the integration from the ATS Integration section of Visage's settings. This can happen if the authorisation was revoked in Greenhouse, or if the Greenhouse user who authorised it was deactivated.
