Braintrust AIR is an AI-powered interviewer that conducts structured, conversational interviews with candidates and evaluates their responses against role-specific criteria. AIR runs first-round screening interviews at scale, scores each candidate consistently, and returns a detailed scorecard so recruiting teams can focus their time on the strongest applicants.
Braintrust AIR's integration with Greenhouse Recruiting connects the two systems so they can pass information back and forth for both AI interviews and resume screening. Once connected, you can link Greenhouse jobs to AIR, build a tailored interview from the Greenhouse job description, automatically invite candidates as they move through the pipeline, and sync interview results - an overall score, per-criteria scores, a summary, and a link to the full interview details - back to the candidate's record in Greenhouse. AIR also advances candidates to the appropriate pipeline stage on completion so your Greenhouse data stays current.
Prerequisites
- A Braintrust AIR account.
- A Greenhouse Site Admin (or Integration Service User) to authorize the connection.
Connect Greenhouse to AIR
Braintrust provides a magic link that leads to a short, guided workflow - grant permissions, continue, sign in to Greenhouse as an authorized user, and you're done.
Authorize the connection
- In Braintrust AIR, go to Settings > ATS Integration and select Greenhouse (V3).
- Review the requested permissions and click Continue.
- Click Sign in with Greenhouse (V3) and sign in with a Greenhouse Site Admin account (or authorize via a Service Account - see note below).
- You'll see a confirmation that the connection was set up successfully, and you'll be returned to AIR. There is nothing further to configure to establish the connection.
Note: If you'd prefer to authorize the integration with a dedicated service account rather than a personal Site Admin login, follow Greenhouse's Connect to Harvest v3 partner integrations (ISU) article as part of this step.
Once authorized, the two systems can exchange information about AI interviews and resume screening.
Set up a job in AIR
After a recruiter launches a job in Greenhouse, they navigate to the Braintrust platform to link that job to AIR and to customize the questions and criteria associated with it.
Import the job from Greenhouse
- On the AIR dashboard, click Import from ATS.
- AIR identifies all open roles inside Greenhouse by job title and job ID. Locate the job using the search field or by scrolling the list.
- Select the job and click Next.
- Choose whether to create a new AIR job or link to an existing AIR job from the drop-down menu.
Build the interview
When you create a new AIR job, AIR pulls in the title and job description for the role from Greenhouse. This allows AIR to automatically build questions and criteria that fit the qualifications and requirements of the role.
- Choose how to populate the interview: manually add your own questions and criteria, or ask AIR to generate them from the imported job description.
- Review the generated content and make any changes needed to the questions and/or the scoring criteria.
- Customize the interview experience, including what starts and ends the interview.
- Click Save and exit. The job is ready to go.
Configure the Greenhouse recruiting process
For any job that utilizes Braintrust AIR, change the recruiting process in Greenhouse to include two stages: AIR Interview and AIR Interview Completed. Add both to the job's Interview Plan in Greenhouse Recruiting (Job Setup > Interview Plan).
- AIR Interview - the trigger stage. Moving a candidate into this stage invites them to the interview.
- AIR Interview Completed - the destination stage. AIR moves the candidate here automatically once they finish the interview.
Limit interview eligibility (optional)
By default, anyone with the interview link can begin an interview. You can instead whitelist against your applications, meaning only candidates using a name and email associated with an application for that job will be able to begin. Enable this in AIR's admin settings under Interview Access Control. A job-level override is also available if you need to vary this by role.
Invite candidates and run interviews
Move candidates into the AIR Interview stage
To get candidates invited and moving through the process, recruiters can either:
- Drag candidates into the AIR Interview stage manually, or
- Use Greenhouse automations - for example, auto-advancing anyone who passed the application questions.
Once a candidate enters the AIR Interview stage, they automatically receive an invitation email and are ready to begin.
The candidate completes the interview
The candidate clicks Start My Interview in the email. The interview page opens on any device with a camera, a microphone, and an internet connection. The candidate confirms their details, selects a preferred language, and completes the conversational AI interview.
The page is customized with your logo and your company name. If eligibility is limited (see Configure the Greenhouse recruiting process), only candidates whose name and email match an application for that job will be able to start.
Review results in Greenhouse
Once the candidate completes the interview:
- Auto-advance - the candidate is automatically moved from AIR Interview to AIR Interview Completed.
- Scorecard and summary generated - AIR produces an overall score, a written summary, and individual criteria scores.
-
Results synced to Greenhouse - results are posted to the candidate's application. They can be found in the Notes section inside Assessments, or inside the Braintrust AIR platform. The note includes:
- Overall score
- Breakdown of scores by criteria
- A link to the full scorecard
Open the scorecard link to see the full AIR interview summary. The scorecard breaks down how the candidate performed across the entire interview, as well as against the specific criteria you and your team selected. From the scorecard you can also:
- Play the interview video, at normal speed or up to 2x.
- Read the full transcript, to easily search and navigate to specific sections of the interview.
- Review focus areas and notes, and add tags or notes of your own.
From there, the rest of your interview process continues exactly as it would for any other recruiting process for an open role inside Greenhouse.
Data AIR reads and writes
Once connected, AIR reads jobs, candidates, applications, users, application stages, screening questions, and interview data from Greenhouse. AIR writes the following back to Greenhouse:
- Interview results posted as a note on the candidate's application (overall score, per-criteria scores, and a link to the full interview details).
- Application stage changes (for example, advancing a candidate from AIR Interview to AIR Interview Completed on completion).
- Depending on your configuration, AIR may also apply tags or set a rejection reason based on the interview outcome.
Frequently asked questions
Why must a Site Admin authorize the connection?
Greenhouse requires Site Admin privileges to grant access to all of the list endpoints AIR relies on. If a non-Site Admin authorizes the connection, some data will be inaccessible and syncs may fail.
How are candidates invited to the interview?
Invitations are triggered by the Greenhouse pipeline. When a candidate enters the AIR Interview stage - whether moved manually or by a Greenhouse automation - they automatically receive the invitation email.
Will my candidates see my branding?
Yes. The interview uses your company name and logo, and candidates do not see Braintrust's name. This can be configured in Admin Settings.
What device does a candidate need?
Any device with a camera, a microphone, and an internet connection. No app download or install is required.
Can I control who is able to take an interview?
Yes. Enable Only allow applicants from my ATS under Interview Access Control to whitelist against your applications, so only candidates whose name and email match an application for that job can begin. A job-level override can be enabled if you need to vary this by role.
What happens to the interview results?
Results are written back to the candidate's Greenhouse application notes, and the full scorecard - including the video, transcript, and per-criteria breakdown - remains available in AIR.
