Configure the Private Eyes integration
Authorize the integration
Log in to your Private Eyes account and go to Integrations, where you'll see the Greenhouse integration listed. Click the Connect button and you'll be redirected to Greenhouse, where you'll need to authorize the integration.
Once approved, Private Eyes will complete the setup automatically – no further action is needed on the client side. The system will also keep the connection active, so you don't need to reconnect later.
Note: Client users will receive the above error message if attempting to log into Greenhouse with an improper email address.
OAuth authentication connects your Greenhouse account to Private Eyes, while webhooks automatically send background check request details from Greenhouse to Private Eyes.
Configure custom options in Greenhouse Recruiting for the Private Eyes integration
Note: To configure custom options in Greenhouse Recruiting, you will need to be a Site Admin or a Job Admin with the additional user-specific permission "Can manage custom fields".
To configure the Greenhouse Recruiting / Private Eyes integration, you will need to add a custom job field in Greenhouse Recruiting.
To add a custom job field, click the Configure icon and select Custom Options on the left.
Click Jobs under the Company Custom Fields section.
From the Job Fields page, click Add Field.
Make the following selections on your new custom job field:
- Field Name: Private Eyes Package
- Description: Background Check Package
- Type: Single select
- Check "Required" as true
Note: Be sure to add background check packages to the Options field with each package separated by a line break (see screenshot above).
When finished, click Save.
Use the Greenhouse Recruiting / Private Eyes integration
Create job with Private Eyes package
While creating a job in Greenhouse, select the required Private Eyes package. You'll need it for the background check later.
Submit background check order
To place a Private Eyes order, navigate to the candidate's profile and click the Details tab. Confirm the following information is complete:
- Candidate's first name
- Candidate's last name
- Candidate's email address
Note: If the recruiter email address is not a valid user in the Private Eyes platform, the order will fail.
Next, click the Move Stage button and change the candidate's stage to Background Check.
A webhook is automatically sent to Private Eyes, and if all the details are correct, the order is created in Private Eyes.
Click Save.
After you click Save, the order is created in the Private Eyes system.
Track status of background check order
You can track the status of the background check by clicking the Activity Feed on the candidate profile in Greenhouse Recruiting.
To view the status of a background check, click the link in the Activity Feed note from Private Eyes.
View final background check report
Once a background check report is completed, Private Eyes will send you an email notification.
Private Eyes also posts a status update in the candidate's Activity Feed with a link that, when clicked, allows you to view the final background check report as well.
