Universal Background Screening's integration with Greenhouse allows users to order background checks directly from candidate profiles. By using existing candidate data, the process requires less manual entry, speeds up workflows, and makes it easier to track candidates throughout the screening process.
Configure the Universal Background Screening integration
Prerequisites
Before starting, ensure you have:
- Admin access to the Greenhouse account with Dev Center and API Credential permissions
Login to the Universal Portal
Access ATS External Services Menu
Navigate to New > Connect with Greenhouse.
Click the New drop-down from the top navigation.
Navigate to Connect with Greenhouse.
Note: This option will not be present if the integration is not yet configured, or if the token is already valid. This option only appears when the token has not been set up yet or is expired.
Authorize the Universal Background Screening Integration
Access the Pop-up.
Enter your email address as prompted.
Select "Log in to Greenhouse".
Login to Greenhouse
After selecting "Login to Greenhouse," the user will be brought to Greenhouse's login page to enter their Username and Password.
Enter Confirmation Code as requested.
Check Authorize using a service account. (See Greenhouse's Connect to Harvest v3 partner integrations article for details on authorization methods.)
Select Authorize to proceed.
The user will be redirected back to the Universal Portal, and the integration will be ready to use.
Use the Universal Background Screening integration
There are two triggers available to initiate a background screening using the integration:
- Offer Stage
- Background Stage
Triggering a Background Check to Universal Background Screening using Offer Accepted Stage
From Dashboard, click All Candidates.
Select the candidate.
Click Move Stage.
When the candidate is ready for a background check, click Offer stage.
Mark the offer as Accepted.
Set Make Candidate Private? to No.
Click Save.
Navigate to the Activity Feed.
Access the URL provided by Universal in the Activity Feed to enter the Universal Portal to submit the request.
Triggering a Background Check to Universal Background Screening using Background Check Stage
From Dashboard, click Candidates.
Select the candidate.
Click Move Stage.
Click Background Check Stage.
Navigate to the Activity Feed.
Access the URL provided by Universal in the Activity Feed to enter the Universal Portal to submit the request.
Accessing the URL through either workflow will land the user onto this Login page, and both routes follow this track from here on.
Candidate information will be transferred over from Greenhouse.
Completing this form will trigger an invitation to the candidate. The candidate will then provide any missing information (PII, Acknowledgments/Auth, etc.).
