Overview

CLARA is an AI-powered candidate screening and assessment platform built for mid-market companies. Rather than filtering candidates out by keyword, CLARA evaluates what candidates can actually do — identifying transferable skills, soft-skill competencies, and demonstrated potential. The result: hiring teams see a skills-aligned shortlist instead of a pile of resumes.

CLARA's integration with Greenhouse Recruiting allows users to connect their Greenhouse account via OAuth, automatically import jobs and applicants, and push match scores and candidate assessment data back into Greenhouse — all without leaving their existing workflow.

Configure the CLARA integration

Prerequisites

Before setting up the integration, confirm the following:

  • You have an active CLARA account. Contact your CLARA Partner Success Consultant or visit getclara.io to get started.
  • You have Site Admin permissions in your Greenhouse Recruiting account.
  • You know your Greenhouse subdomain (the prefix in your Greenhouse URL, e.g., "app7" or "your-company").

Select Greenhouse in CLARA

Log in to your CLARA account and navigate to Settings > Integrations.

Click Greenhouse from the list of available integrations.

A setup wizard will appear showing the Greenhouse configuration steps and the permissions CLARA will request. Review these steps, then click Next: Connect ATS.

Enter your subdomain and connect

In the Enter your API details screen, confirm Greenhouse is selected as your applicant tracking system.

Enter your Greenhouse subdomain in the subdomain field (e.g., "app8" — just the subdomain text, not the full URL).

Click Connect to ATS. CLARA will redirect you to Greenhouse's authorization page.

Authorize CLARA in Greenhouse

On the Greenhouse authorization page, you will see a full list of the permissions CLARA is requesting access to:

  • Candidates & Prospects — candidate and prospect profiles, attachments, notes, and sources
  • Applications — applications, pipeline stages, and rejections
  • Jobs & Openings — jobs, openings, job posts, and job boards
  • Interviews & Scorecards — interviews, interviewers, kits, and scorecard feedback
  • Users & Permissions — user accounts, roles, emails, and job permissions
  • Organization Setup — departments, offices, custom fields, and templates
  • Integrations — webhooks and bulk API requests

Enter your Greenhouse email address in the Email field.

Click Log in to Greenhouse. You will be logged in and shown a confirmation screen.

Optionally check Authorize using a service account if you want an org-level service account to own the authorization rather than your personal account.

Click Authorize. Greenhouse will redirect you back to CLARA to complete setup.

Note: You can revoke CLARA's access at any time from your Greenhouse Connected Integrations settings.

Select jobs to process

After authorization, CLARA will display all open and closed jobs from your Greenhouse account. Select the jobs you want CLARA to begin processing immediately. You can import additional jobs later at any time.

Jobs flagged as "Job Description Not Available" cannot be imported until a description is added in Greenhouse.

Click Next: Candidate Processing when ready.

Configure candidate processing

By default, CLARA processes all candidates, including those who were previously rejected or archived in Greenhouse. To exclude prior rejected candidates from processing, enable the Do not process prior rejected candidates toggle.

CLARA recommends keeping this option off to ensure full candidate insights and catch any surprise matched candidates.

Click Next: Map Actions when ready.

Enable the Map action between Greenhouse and CLARA toggle to allow CLARA to synchronize candidate statuses with Greenhouse. When enabled, stage changes in either system will be reflected in the other automatically.

Choose which Greenhouse candidate statuses should prompt CLARA to send follow-up questions. Select from Active, Rejected, and Hired.

Click Next: Follow Up Questions when ready.

Configure follow-up questions

Follow-up questions let you learn what a resume can't tell you. After candidates apply, CLARA sends them questions based on your configuration. Toggle on the question types you want included:

  • Skills and Experience — AI-generated, candidate-specific questions that invite applicants to address identified gaps in required skills or experience.
  • Assessments — Questions that evaluate a candidate's critical thinking, learning agility, and distance traveled.
  • Company Questions — Custom questions specific to your company culture and role requirements.

Click Submit to complete the integration setup. CLARA will begin importing your selected jobs and processing applicants.

What happens automatically at setup

When the integration is established, CLARA automatically creates a set of webhooks in your Greenhouse account to keep both systems in sync:

  • Job Created — pulls any new Greenhouse jobs into CLARA automatically.
  • Application Submitted — triggers CLARA to begin evaluating a candidate when they apply.
  • Stage Changed — syncs candidate stage updates between Greenhouse and CLARA.
  • Additional webhooks to support candidate status and disposition sync.

Webhooks are labeled in Greenhouse with the CLARA partner ID and integration ID (e.g., "CLARA State Change Webhook – Partner 720, Integration 529") and are visible under Configure > Dev Center > Web Hooks.

Note: CLARA also automatically creates all required custom fields in Greenhouse (match score, match score breakdown, requirement match, and question answers). No manual field setup is needed.

Use the CLARA integration

How new jobs sync automatically

After the integration is connected, any new job created in Greenhouse with a complete job description will automatically appear in CLARA via the Job Created webhook — no manual import required.

Jobs created without a description will not auto-sync but remain available for manual import once a description is added.

Note: If a job did not auto-sync for any reason, you can always import it manually from CLARA's job import list.

How applicants are screened

When a candidate applies through Greenhouse, CLARA receives the application via webhook and automatically:

  • Analyzes the application for hard-skill alignment, transferable skills, and skill equivalencies.
  • Engages the candidate with targeted follow-up questions to surface additional context.
  • Evaluates soft-skill competencies including critical thinking, learning agility, and resourcefulness.
  • Assigns a match score and ranks the candidate relative to others in the pool.

How results appear in Greenhouse

After CLARA completes its evaluation, the following data is written back to the candidate's Greenhouse profile via custom fields:

  • Match Score
  • Match Score Breakdown
  • Requirement Match
  • Question Answers

To view a candidate's full CLARA assessment, click Open in ATS from the candidate card in CLARA. This opens the candidate's profile directly in Greenhouse.

In Greenhouse, CLARA data is available on each candidate's profile and can be searched and filtered. The following fields are populated by CLARA:

  • CLARA Application Status — the candidate's CLARA qualification tier (e.g., Pre-Qualified, Not Qualified)
  • Match Score — overall numeric match score
  • Match Score Breakdown — scores broken out by required experience, required skills, people skills, nice-to-have experience, nice-to-have skills, and education
  • CLARA Skills Match — the specific skills identified and evaluated for the candidate

How to advance or reject a candidate

Stage changes made in Greenhouse sync back to CLARA automatically via the Stage Changed webhook. Disposition updates made in CLARA are reflected in Greenhouse as well. Candidates who do not advance receive a feedback-rich experience through CLARA's candidate communication module.

Managing jobs and webhooks

Removing a job from CLARA

If you remove a job from CLARA, it will reappear in your import list and can be re-imported at any time. During a trial period, job and candidate processing limits apply — jobs exceeding the limit will appear in the import list but will not be imported until capacity is available.

Managing webhooks

All webhooks created by CLARA are visible in Greenhouse under Configure > Dev Center > Web Hooks. To disable a specific automated behavior (e.g., auto-syncing new jobs), delete the corresponding webhook from Greenhouse. All remaining webhooks will continue to function normally.

Note: Deleting the Job Created webhook disables automatic new-job syncing. New jobs remain available for manual import in CLARA.

Reconnecting the integration

If your integration becomes disconnected, you can reconnect from Settings > Integrations in CLARA:

Select Greenhouse and enter your subdomain.

Click Reconnect Integration.

Complete the Greenhouse authorization flow as described above.

Your existing jobs, webhooks, and settings are preserved. CLARA automatically refreshes the OAuth token before the 24-hour expiration window, so reconnection is rarely needed.

Most customers complete the CLARA–Greenhouse integration in under 5 minutes.

Do I need to create custom fields in Greenhouse manually?

No. CLARA automatically creates all required custom fields in Greenhouse when the integration is established. No manual field setup is needed.

Will new jobs I create in Greenhouse automatically appear in CLARA?

Yes. Once the integration is connected, any new job created in Greenhouse with a complete job description will automatically sync to CLARA via webhook. If you prefer to manage job imports manually, you can delete the Job Created webhook from Greenhouse's webhook settings.
