Aquera provides a platform to integrate the Greenhouse Recruiting application with HR systems.
Aquera's integration with Greenhouse Recruiting allows organizations/enterprises to scale complex data management by automating the synchronization of candidates from the Greenhouse Recruiting application to HR applications.
This integration allows customers to import candidates from the Greenhouse Recruiting application and provision the offer-accepted candidates in Dayforce, which is an HR application, using Aquera's User Integration.
Configure the Integration
Aquera's User Integration allows the automatic synchronization of candidates from the Greenhouse Recruiting application to HR applications such as Dayforce. With this integration, you can import candidates from the Greenhouse Recruiting application, filter candidates (for example, filter based on the status of the job offer accepted), and provision these candidates in the HR application.
You are required to perform the following steps for the Aquera Greenhouse Recruiting to HR Integration:
- Configure the Greenhouse Recruiting connector
- Configure an HR system connector
- Set up the User Integration
Configure the Greenhouse Recruiting Connector
You need to configure the Greenhouse Recruiting connector in the Aquera Admin portal to retrieve candidates from the Greenhouse Recruiting application.
Perform the following procedure to configure the Greenhouse Recruiting connector:
Log in to the Aquera Admin portal.
Navigate to Applications and click Add Application.
Search for Greenhouse Recruiting and click the Greenhouse Recruiting icon.
Enter the values for the following fields under the Configuration tab:
Basic Details:
- Display Name: Enter a display name for your application.
- Description: Enter a description for your application.
- Pick your protocol: Select the SCIM protocol from the dropdown list.
- Copy this URL: This field displays the base URL of the connector API endpoint.

Authorization: The Greenhouse Recruiting connector supports OAuth2 authentication. A token is generated in the Authorization field when you click AUTHORIZE and then provide the credentials of a user with admin permissions.
Refer to the Authentication section for further details. - Click Create to create the Greenhouse Recruiting connector.
Authentication
Perform the following steps to generate the token:
On the application configuration page in the Aquera Admin portal, click AUTHORIZE.
Click Yes to navigate to the authorization page. The authorization page shows the actions the application wants permission to perform with your organization's data.
Enter the email address of a user with administrator privileges in the Email field and then click Log in to Greenhouse.
Provide credentials to log in to your Greenhouse instance. Once you successfully log in, you will be redirected to the Authorize page.
Select the Authorize using a service account checkbox if you want the authorization to be owned by an organization-level service account instead of your user account. Note: this checkbox is available only if the authorizing user is a Site Admin.
Click Authorize. You will be redirected to the Aquera Admin page. The token is generated in the Authorization field. This token must be used for authentication.
Note: If required, you can click Re-Authorize to generate a different token and use it for authentication.
Configure an HR System Connector
You need to configure an HR connector in the Aquera Admin portal to provision the job offer accepted candidates in an HR application. Refer to the respective connector configuration guides in the Aquera Help Center for details on configuring an HR connector.
For example, if you are using Dayforce as the HR connector, refer to the Dayforce Configuration Guide in the Help Center for detailed instructions on configuring the Dayforce connector.
Set Up the User Integration
Aquera's User Integration allows the automatic synchronization of candidates from the Greenhouse Recruiting application to HR applications such as Dayforce.
Perform the following steps to create a new user integration:
Log in to the Aquera Admin portal.
Navigate to Integrations on the left panel, which displays the list of integrations.
Click Create Integration in the top right corner of the screen.
Select User Integration as the integration type.
Enter a name and a description for the integration.
Click Continue. A new page is displayed with the fields and tabs to configure the integration.
Configure the following sections under the Configuration tab according to your requirements:
Basic Details:
Select Greenhouse Recruiting as the Source Application.
Select Dayforce as the Target Application.
Configure the Match Expression as SOURCE.emails[personal].value == DEST.emails[home].value to match Greenhouse Recruiting candidate records with the corresponding Dayforce employee records.
Configure the remaining basic settings as required.
Creation Email Details: to configure the email notification settings for the user creations in Dayforce.
Deactivation Email Details: to configure the email notification settings for the user deactivations in Dayforce.
Admin Email Options: to configure the integration report to be sent via email.
Click the Attribute Map tab and configure the attribute mappings according to your requirements:
- By default, attributes with similar names are automatically mapped between the Greenhouse Recruiting (source) and Dayforce (target) applications.
- Review the default mappings and modify them if required.
- If required, you can update the source attribute field with JavaScript expressions to transform or combine source attribute values before mapping them to the corresponding target attributes.
- Ensure the required source attributes are mapped to the appropriate target attributes.
Click the Schedule tab to set up a schedule for running the integration automatically. When the integration runs, the candidate data from Greenhouse Recruiting will be synced to Dayforce based on the integration settings.
Click Create to create the integration.
Use the User Integration
Once the integration configurations are completed, the integration runs automatically based on the schedule. You can even execute the integration manually using one of the following methods:
Navigate to the Integrations module on the Aquera Admin portal. Click the Execute icon on the left side of the integration record that needs to be executed. The integration execution starts.
Navigate to the Integrations module in the Aquera Admin portal and click the integration that you have created. Click the vertical ellipsis icon (⋮) in the top-right corner, and then click Execute to start the integration.
Sample User Integration Result
The following example shows a candidate who has accepted a job offer in the Greenhouse Recruiting application.
After the user integration is executed successfully, a new employee record is created in the Dayforce application for the offer-accepted candidate from the Greenhouse Recruiting application, as shown below:
