FactoryFix's integration with Greenhouse Recruiting allows users to automatically sync open jobs from Greenhouse into FactoryFix and receive FactoryFix-sourced candidates back in Greenhouse as new applications — complete with resume, screening transcript, AI recruiter assessment, and source attribution — so recruiting teams can manage all candidates in Greenhouse without double entry.
Configure the FactoryFix integration
Prerequisites
- A Greenhouse Recruiting account with a user who has Site Admin permissions
- An active FactoryFix subscription
Step 1 — Request your connection link. Your FactoryFix Customer Success Manager will send you a secure, single-use connection link (hosted at connect.kombo.dev). Each link is unique to your organization. Open it and click Continue.
Step 2 — Sign in with Greenhouse. Select Sign in with Greenhouse (V3). A Greenhouse authorization window opens; enter the email address of a Site Admin account and click Log in to Greenhouse. Connections made with non-admin accounts will be rejected.
Step 3 — Review permissions and authorize a service account. Greenhouse displays the permissions FactoryFix requests (they correspond to the data tables below). Check "Authorize using a service account" — this creates an org-level service account so the integration doesn't depend on any individual user — then click Authorize.
Step 4 — Confirmation. The window closes and the connection page shows "Connection set up successfully!" Your FactoryFix CSM will confirm that your Greenhouse jobs have begun syncing. Jobs sync automatically every 3 hours after that. No further setup is required in Greenhouse.

FactoryFix checks for an existing candidate with the same email address and an existing application for the same job before writing, so duplicate applications are not created.
Webhooks: FactoryFix registers webhooks programmatically via Harvest v3 to keep job data current; no manual webhook setup is required by your team.
Use the FactoryFix integration
Sync jobs from Greenhouse to FactoryFix
- Create or update a job in Greenhouse Recruiting as you normally would.
- FactoryFix syncs active jobs automatically every 3 hours.
- The job appears in FactoryFix in an inactive state.
- Activate the job in FactoryFix to turn on AI recruiting — the AI recruiter begins posting to job boards and reaching out to matching candidates in the FactoryFix talent network.
Receive FactoryFix candidates in Greenhouse
- A candidate applies via a job board or responds to AI recruiter outreach.
- The FactoryFix AI recruiter screens the candidate over SMS/email.
- When the candidate reaches your configured sync trigger (set with your CSM during implementation), FactoryFix creates the candidate and application in Greenhouse, attaches the FactoryFix Candidate PDF, and adds a note linking to the full conversation.
- The candidate appears in your Greenhouse pipeline with source "FactoryFix," ready for review.
