HireRight integration for Greenhouse Onboarding

HireRight's integration with Greenhouse Onboarding allows you to build background checks directly into your onboarding task workflow. Once a background check is initiated, new hires can complete their required screening steps, and your team can track status updates directly in Greenhouse Onboarding.

Note: The person setting up the integration and checking statuses must have an eligible HireRight account with an email address that matches their Greenhouse Onboarding account.

Enable the HireRight integration

Before you begin, make sure you have:

  • Owner access to Greenhouse Onboarding.
  • An active HireRight account.
  1. Log in to Greenhouse Onboarding.
  2. Navigate to Settings > Data Flow > Integrations.
  3. Find HireRight in the integrations list and click Connect.

  1. Enter your Company Login (also called your account code or hr-company-login).
  2. Click Connect.

Note: If HireRight doesn't appear in your integrations list, contact your Greenhouse Customer Success Manager.

Add a HireRight background check to an onboarding task

To start background checks automatically as part of onboarding, add HireRight to a task in your onboarding plan.

  1. Go to Settings > Tasks and click Add Task.
  2. Scroll to Use an integration in this task? and select HireRight background check.
  3. Complete the standard task details, such as task name and due date.
  4. Complete the HireRight-specific fields: Company Account, Package, and Products.
  5. Select the Job Location.

The required location fields depend on the country you select:

Country Required fields
United States State, City, Zip Code
United Kingdom Region
All other countries Country only

Note: If these location details aren't filled in when you create the task, the assigned user will need to complete these details when the task is triggered for a new hire.

Task assignment and notifications

Assign the task to the person responsible for onboarding the new hire or managing background checks.

If needed, create a dependent task that emails the new hire and prompts them to log in and complete the required HireRight steps.

Track background check status

You don't need to log in to HireRight to check a new hire's progress.

  1. Open the new hire's profile in Greenhouse Onboarding.
  2. Click the Integrations tab.
  3. Click the HireRight tab to view the current status of the background check.

Reporting

You can build custom reports in Greenhouse Onboarding that include information from the HireRight integration.

Note: Only users with the appropriate permissions configured in HireRight can view HireRight-related fields  in Greenhouse Onboarding reports.

Troubleshoot the integration

HireRight isn't available in Integrations

If HireRight doesn't appear on the Integrations page, contact your Greenhouse Customer Success Manager.

Can't connect HireRight or view statuses

Confirm that the Greenhouse Onboarding user setting up the integration has an eligible HireRight account and that the email address on both accounts matches.
