Analytics settings is where admins configure user access, fiscal year settings, and how recruiting stages appear in reports.

Note: Only users with the Analytics Admin role can view and edit these settings.

Where to configure settings

From Greenhouse Recruiting, navigate to Analytics in the main navigation.

Click the Configure icon Configure icon at the top right of the page.

Overview page

The analytics settings overview page gives you a snapshot of your organization's analytics environment. Here you'll find:

  • Total users — the number of users with access to Analytics, with a breakdown by role
  • Data views — total data views in your organization, plus how many were created this month
  • Dashboards — total dashboards, plus how many were created this month
  • Current fiscal year — your active fiscal year label and date range
  • Recent activity — the 10 most recent changes made in settings, including who made the change and when
  • System status — the last data sync timestamp and pipeline health

Permissions and user roles

From the left side menu, under People, click Users.

Here you'll see all users in your organization who have access to Analytics and their assigned roles. There are three roles available:

Role What they can do
Admin

Full access to all analytics settings and user management.

Can create, edit, delete, and share all resources.

Creator

Can create and edit data views, dashboards, and visualizations.

Cannot access admin settings or manage users.

Viewer

View-only access.

Can view dashboards and data views shared with them, but cannot create or edit anything.

To change a user's role, select a new role from the dropdown next to their name. You can update multiple users before saving.

Note: You cannot change your own role.

Click Save to apply your changes.

Fiscal year

To update your fiscal year settings, from the left side menu under Data configuration, click Fiscal year.

Fiscal year start month

Use the dropdown to select which month your fiscal year begins. This affects how quarters and fiscal months are calculated throughout Analytics.

If your fiscal year spans two calendar years, you can choose how it's labeled:

  • Label by end year (default) — a fiscal year running July 2024–June 2025 will be labeled "FY2025"
  • Label by start year — the same period will be labeled "FY2024"

This label appears on data views, charts, and filters throughout Analytics.

Week starts on

Use the dropdown to choose which day your week begins. This controls what "This week" and "Last week" mean in date filters across Analytics.

Preview

At the bottom of the page, a preview shows your current fiscal year label and full date range, as well as all four quarters and their date ranges under your current settings. The preview updates in real time as you adjust settings.

Click Save changes to apply your updates. To revert to the default configuration (January start, label by end year, Sunday week start), click Reset to default.

Stage groups and custom ordering

Stage groups

From the left side menu, click Stage groups.

Stage groups let you assign a custom display name to each of your recruiting stages. Stages that share the same display name are grouped together in Analytics. This is useful when you have similarly-named stages across different job pipelines that you want to treat as one in your analysis.

The table shows each stage's display name (editable) and its original stage name from Greenhouse Recruiting (read-only, for reference). You can search the list to find a specific stage. Display names cannot be left blank.

Click Save to apply your changes.

Reorder stage groups

From the left side menu, click Stage group order.

Here you'll see all configured stage groups and how many stages belong to each. The order here controls how stage groups appear in pipeline and funnel reports in Analytics.

Note: If no stage groups have been configured yet, this page will prompt you to set them up in Stage groups first.

Click and hold the grip handle on the left side of a row and drag it to a new position. You can also use arrow keys to reorder. Position numbers update in real time as you drag.

Click Save to apply your changes.
