Nametag is an identity verification platform that helps organizations securely verify identities and prevent fraud. As AI-generated and fraudulent applications become more common, Nametag helps recruiting teams confirm that candidates are who they claim to be while reducing compliance risk.

Nametag’s integration with Greenhouse Recruiting allows users to initiate identity verification for candidates at key stages in the hiring process and track verification results directly within Greenhouse.

Configure the Nametag integration

Prerequisites

Before setting up the integration, ensure you have:

  1. An active Nametag account
  2. Site Admin permissions in Greenhouse

In this section, you’ll connect Nametag to Greenhouse through OAuth authorization and complete the setup to enable identity verification as part of your hiring process.

Connect Nametag to Greenhouse

In the Nametag Console, navigate to Configure. In the left sidebar, click Integrations. Click Add Integration and select Greenhouse.

Click Connect to Greenhouse.

You will be redirected to Greenhouse to complete the OAuth authorization flow.

Review the requested permissions and click Authorize.

After authorization is complete and you are redirected back to Nametag, the integration will be connected.

Create the candidate email template

To enable candidates to complete identity verification, create an email template in Greenhouse that includes the Nametag verification link.

Create the email template

In Greenhouse, navigate to Configure. In the left sidebar, click Email Templates.

Click either Create a New Organization-Wide Template or Create a New Template.

  1. Configure the template with the following settings:
    • Type: Candidate Email
    • Body: Include the Nametag verification link generated in the Nametag Console

Set up for each job

Complete these steps for each job where you want to use Nametag verification.

Create a Nametag verification stage

  1. In Greenhouse, navigate to Jobs and select a job.

  1. Click Job Setup.

  1. Click Interview Plan.

  1. Add a new stage named Nametag Verification.

You can place this stage anywhere in your hiring pipeline depending on your workflow.

Configure an automatic email trigger (recommended)

To streamline the process, configure Greenhouse to automatically send the verification email when a candidate enters the Nametag Verification stage.

  1. In Greenhouse, navigate to Jobs.
  2. Select the job where the Nametag Verification stage was added.
  3. Click Job Setup.
  4. Click Stage Transitions.
  5. Click Create a New Rule.

  1. Configure the rule:
    • Stage: Nametag Verification
    • Action: Email Candidate
    • Template: Select the email template created in Step 2

Scaling this setup across jobs

Once you’ve configured Nametag verification for a job, you can reuse this setup across other jobs:

  • Use a job template (recommended) Create a Greenhouse job template that includes the Nametag Verification stage and email trigger. This allows you to skip Steps 3 and 4 for all new jobs created from the template. Learn more about creating job templates in Greenhouse
  • Copy from an existing job Copy an existing job’s interview plan to reuse the same setup.
  • For existing jobs Complete Steps 3 and 4 for each job individually.

How Nametag updates candidate data in Greenhouse

Nametag uses Greenhouse APIs to update candidate application data when verification events occur, ensuring that verification results are reflected in real time

  • Creating and updating custom fields for verification data
  • Adding notes with verification results
  • Optionally moving candidates to the next stage

Nametag does not overwrite existing candidate profile data.

Custom fields created by Nametag

Nametag creates the following custom fields to store and display verification data on the candidate’s application in Greenhouse.

Field Description
Verification Status (Nametag) The current verification result
Verified Legal Name (Nametag) The verified legal name from the identity document
Name Match Result (Nametag) Indicates whether the name provided in Greenhouse matches the name on the verified identity document
Verification Details Link (Nametag) A link to the detailed verification results in the Nametag console
Verified GPS Location (Nametag) The GPS location captured during verification
Request ID (Nametag) The unique identifier for the verification request

Application notes added by Nametag

Nametag adds notes to the candidate’s application to provide a clear verification timeline.

Notes may be added for the following verification events:

  • Verified
  • Not Verified
  • Review in Progress
  • Appeal Rejected
  • Confirmed Fraud

Nametag updates the candidate’s application in Greenhouse when key events occur during the identity verification process.

Auto-Move candidates after successful verification

You can configure Nametag to automatically move candidates to the next interview stage in Greenhouse after a successful verification.

When enabled, Nametag will advance the candidate to the next stage after the verification result is Verified and the legal name matches the candidate’s name.

Nametag will only move the candidate if their current stage is Nametag Verification. If the candidate has already been moved to another stage by a recruiter, Nametag will not modify the candidate’s stage.

Use the Nametag integration

After completing setup, you can use the Nametag integration to verify candidate identities within your hiring workflow.

Identity verification workflow in Greenhouse

Verification is triggered when a candidate enters the Nametag Verification stage in Greenhouse and receives the verification email, either automatically (if configured) or manually.

  1. A candidate progresses through the hiring pipeline in Greenhouse.
  2. The candidate enters the Nametag Verification stage.

  1. Greenhouse sends the verification email using the configured template.
  2. The candidate completes identity verification through Nametag.
  3. Nametag processes the verification and determines the result.
  4. Nametag updates the candidate’s application in Greenhouse:
    • Updates custom fields
    • Adds a note with verification details

  1. If enabled, Nametag automatically moves the candidate to the next stage after successful verification.

Common scenario: verifying a candidate before interviews

  1. Recruiter moves candidate to Nametag Verification stage.
  2. Candidate receives a verification email.
  3. Candidate completes verification.
  4. Recruiter reviews verification status in Greenhouse.
  5. Candidate proceeds to the next stage if verified.

Removing the integration

You can disconnect the Greenhouse integration at any time from the Nametag Console.

To remove the integration:

1. In the Nametag Console, go to Configure.

2. In the left sidebar, select Integrations.

3. Locate the Greenhouse integration.

4. Click Remove.

Once removed:

  • Nametag will no longer access Greenhouse data
  • Verification results will no longer be sent to Greenhouse
  • Existing data in Greenhouse will remain unchanged

If you want to use the integration again, you will need to set it up again by following the setup steps.

What permissions does Nametag require? 

Nametag requests only the minimum permissions required to support identity verification workflows. This includes permissions to read candidate and application data, list and create custom fields, update application fields, add notes to applications, and move candidates between stages. It also reads interview stage configuration to determine the correct next stage when Auto-Move is enabled.

Does Nametag overwrite candidate data? 

No. Nametag only adds verification-related data to the application.

Can candidates be automatically advanced? 

Yes. If Auto-Move is enabled, candidates are moved to the next stage after successful verification, as long as they are still in the Nametag Verification stage and the verified legal name matches the name on the Greenhouse candidate profile.
