ModernLoop integration

ModernLoop is an interview scheduling platform that automates coordination, reduces manual effort, and improves the candidate experience.

ModernLoop’s integration with Greenhouse Recruiting allows users to seamlessly sync candidate data, automate interview scheduling workflows, and manage interview logistics directly from ModernLoop.

Configure the ModernLoop integration

ModernLoop integrates with Greenhouse via the Harvest API, enabling reliable, real-time data syncing across your hiring workflows.

Step 1: Authorize the Greenhouse integration in ModernLoop at the organization level

  1. In ModernLoop, navigate to Organization Settings → Organization → Integrations
  2. Click Connect next to Greenhouse (Harvest V3 - OAuth)
  3. Enter your service account email address (site admin) and click Log in to Greenhouse
  4. Log in to Greenhouse using your service account credentials
  5. Select Authorize using a service account, then click Authorize 
  6. Once complete, you'll be redirected back to ModernLoop.

Step 2: Authorize at the personal level (recommended)

To ensure scheduling actions are correctly attributed to you in Greenhouse reporting, connect your personal account as well:

  1. Navigate to Your account →  Personal Preferences
  2. Select the Integrations tab
  3. Select Connect next to Greenhouse

  4. Enter your email and click Log in to Greenhouse 

  5. Leave "Authorize using a service account" UNCHECKED, then click Authorize

     
  6. You’ll be redirected back to ModernLoop once complete.

Use the ModernLoop integration

Once connected, ModernLoop and Greenhouse work together to streamline scheduling and provide full visibility into the interview process.

Install the ModernLoop Chrome Extension

To get started, install the ModernLoop Chrome Extension:

  1. In ModernLoop, navigate to Your account → Personal Preferences
  2. Select the Integrations tab
  3. Click Connect next to Chrome Extension
  4. Return to Greenhouse and refresh the page

The ModernLoop extension will appear directly within Greenhouse, allowing you to take action without leaving the candidate profile.

Access ModernLoop from a candidate profile

From any candidate profile in Greenhouse, open the ModernLoop extension to:

  • View synced candidate details
  • Create and manage scheduling tasks
  • Launch scheduling workflows
  • Quickly navigate between ModernLoop and Greenhouse

Automatically Sync Candidate Information

ModernLoop automatically syncs key candidate data from Greenhouse, including:

  • Hiring team
  • Job and job stage
  • Candidate profile details

This ensures scheduling workflows always reflect the most up-to-date information. You can also navigate back to the candidate’s Greenhouse profile at any time.

Sync Candidate Availability

When a candidate submits availability through Greenhouse’s Request Availability feature, their availability is automatically reflected in ModernLoop.

This allows coordinators to immediately access submitted time slots and build interview schedules without manual entry

Sync job setup and interview plans

ModernLoop mirrors your Greenhouse interview configuration, including:

  • Interview stages
  • Interview types and durations
  • Associated scorecards

This eliminates duplicate setup and keeps both systems aligned.

Sync communications and activity back to Greenhouse

All scheduling activity in ModernLoop is logged in Greenhouse, including:

  • Candidate communications
  • Scheduled interviews and updates
  • Coordination notes and debrief activity

These updates are posted to the candidate’s Activity Feed in Greenhouse, giving your team full visibility into the scheduling process without needing to switch tools.
