MyGreenhouse is a portal that helps candidates find new opportunities, easily apply to roles and follow their applications. This FAQ gives candidates a clear, high-level overview of how MyGreenhouse works, how to sign in, what stages mean, and where to go for next steps.

Getting started

What’s MyGreenhouse? 

MyGreenhouse is a candidate portal where you can connect with companies that use Greenhouse Recruiting software for hiring. You can find opportunities, apply to jobs and track your applications.

MyGreenhouse only displays what a company chooses to share and can’t change applications or contact recruiters. For corrections, withdrawals, or questions about your application data or status, contact the company you applied to directly.

How do I create an account? 

If you’d like to create a MyGreenhouse account,  go to my.greenhouse.io and sign up with your email address. After you verify your email, log in to create a reusable profile, search for jobs and track your applications.

How do I sign into MyGreenhouse?

MyGreenhouse is password-free. To sign into MyGreenhouse, go to my.greenhouse.io, enter your email, and we’ll send you a single-use security code. In another browser, open the email and copy the code. Switch back to your MyGreenhouse browser, then add the code.

If you don’t see the message, check spam/junk. You can request a new code after 10 minutes.

Do I need multiple accounts for multiple job applications?

No, you don’t need multiple accounts for multiple applications. Your one MyGreenhouse account works with all your applications to companies with jobs listed on MyGreenhouse.

What information can I save in my account?

In your MyGreenhouse account, you can save application details like your name, contact information, resume, online profiles (e.g., LinkedIn, portfolio), worksite preferences (in‑office, hybrid, remote), languages, and location. Saving this information helps you apply faster and present a more complete picture of your experience.

What rights do I have over my information, and can I have it erased?

You control the information in your MyGreenhouse account. Your email address is linked to your account, but all other fields in your profile are optional. You can edit or delete the information in your MyGreenhouse account at any time from your account profile. If you delete your MyGreenhouse account, your profile data will be deleted.

If you want a company you applied to to delete the information they received with your application, you must contact that company directly. Greenhouse does not control any data you share with companies via your job application.

Sign-in & account management

How do I sign into MyGreenhouse?

MyGreenhouse is password-free. To sign into MyGreenhouse, go to my.greenhouse.io, enter your email, and we’ll send you a single-use security code. In another browser, open the email and copy the code. Switch back to your MyGreenhouse browser, then add the code.

If you don’t see the message, check spam/junk. You can request a new code after 10 minutes.

I didn’t receive my login security code

If you didn’t receive your login security code, verify that you correctly entered your email address, then check spam/junk. If 10 minutes have passed, request a new code. If you requested multiple codes, only the most recent one will work.

I entered the right email but the code says “invalid”

Security codes are single‑use and time‑limited. If your code is invalid, request a fresh code and enter it promptly.

How do I change my email?

Your MyGreenhouse account is tied to the email you used to sign up (and to the email you use when you apply to a role at a company on Greenhouse). If you would like to change your email address, you will need to create a new profile on MyGreenhouse.

I applied with the wrong email—can you change it on my application?

Greenhouse can’t change the email on an application after it’s submitted. If you applied with the wrong email address, contact the company directly or re‑apply with the correct email if the posting is still open.

I created two accounts with different emails. Can I merge them? 

Merging accounts isn’t available. If you’ve created more than one account, we recommend using the email you actively use for job applications going forward.

How do I delete my account? 

To delete your account, go to your account profile in MyGreenhouse and select Delete account. This permanently deletes your MyGreenhouse profile data. 

Deleting your MyGreenhouse profile doesn’t delete data already shared with companies—you must contact them directly for that.

How do I update my name or phone number? 

You can edit your name and phone number in your MyGreenhouse profile. Updates apply to future applications only; they won’t change information already sent to companies.  If you need to update your name or phone number already shared with companies, contact them directly.

Using MyGreenhouse

How does Quick Apply work? 

Quick Apply helps you complete applications faster. Simply enter your information once in MyGreenhouse and we’ll autofill those fields when you apply to jobs at companies on Greenhouse. You can always change your Quick Apply profile or edit autofilled answers before submitting.
To mark your Quick Apply profile as complete, be sure you’ve added your:

  • Email
  • Phone number
  • Location
  • Resume
  • Education
  • Employment
  • Online profiles (add at least one link, e.g., LinkedIn, portfolio, GitHub, personal site)

My resume parsed incorrectly. What should I do?

Resume parsing is designed to save time, but can make mistakes. Be sure to review and edit your information before saving your profile and before submitting all applications.

What resume file format works best?

Upload a PDF for best results. If an upload fails, try re‑saving your file as a PDF and reducing its file size.

Why is my school not listed in the Education section of my Quick Apply profile?

If your school isn’t listed in the Education section of your Quick Apply profile, type your school’s name and press Enter to save it to your profile.

When I click Save changes I see “An error occurred. Please try again”

If you get an error when saving your profiles, double‑check that all required sections are filled, look for fields with validation messages, and try again in a couple of minutes. If the issue persists, sign out and back in or try a different browser.

Can I keep multiple versions of my resume?

MyGreenhouse does not support multiple resumes. Your most recently uploaded resume is used by default. You can replace it anytime. 

My language isn’t available in Work Preferences

If your language isn’t available in Work Preferences, select Other. You can still apply normally.

Can MyGreenhouse tell me my precise application status or contact the recruiter for me?

We can’t see a company’s internal decisions or contact recruiters on your behalf. Check any status shared in MyGreenhouse, and contact the company directly for details.

Can you forward my resume to a company?

No, MyGreenhouse cannot forward your resume to a company. Please apply directly to each role.

Can you change the email on a submitted application?

No, you cannot change the email of a submitted application. Contact the company directly if you need changes.

Can MyGreenhouse tell me my precise application status or contact the recruiter for me?

We can’t see a company’s internal decisions or contact recruiters on your behalf. Check any status shared in MyGreenhouse, and contact the company directly for details.

Application tracking

Where can I view the status of my application?

If a company has chosen to share your application status in MyGreenhouse, you can view it in Applications. Some companies also share tasks with you in MyGreenhouse.

Why don’t I see my application in MyGreenhouse?

If you don’t see your application in MyGreenhouse, you may have submitted it before we could track your application. 

We currently show applications submitted after you create your MyGreenhouse account, and those submitted less than 24 hours before you created your account. Older applications won’t appear.

My status changed with the company but not in MyGreenhouse

Companies decide which updates to share. If a status isn’t visible in MyGreenhouse, contact the company for the latest.

How can I ask questions about my application?

If you have questions about your application, contact the company where you applied directly.

What happens to the personal information in my application?

When you apply to a job, the company you applied to is the “controller” of that application data. To access, correct, or delete personal information that you submitted in an application, you must contact the company directly.

Dream Jobs

What’s a Dream Job?

Dream Jobs let you flag select applications as your top picks, signaling strong interest to the hiring team.

How do Dream Jobs work?

Each month you receive one Dream Job credit. When you mark an application as your Dream Job, it’s highlighted for the recruiting team.

I used my Dream Job for the wrong role. Can I undo it?

Dream Job selections cannot be undone, so please choose carefully. You’ll get a new Dream Job at the beginning of each month.

Job alerts

Where do I create job alerts?

Currently you can create job alerts from job boards and job posts of companies that use Greenhouse for hiring.

Can I customize my job alerts?

Yes, you can customize your job alerts. Pick the keywords you’re interested in and your preferred frequency. You can view alerts via email and when you sign in to MyGreenhouse.

I signed up for alerts but haven’t received any

If you haven’t received a job alert after a week, no new roles match your criteria. Try broadening your titles, departments, or locations and check your spam/junk folder.

How do I pause or unsubscribe from alerts?

To unsubscribe from job alerts, use the unsubscribe link in any alert email or manage alerts from your MyGreenhouse account.
