Scouted automates the process of collecting applicant reviews by identifying internal connections based on overlapping experience and asking existing employees for reviews of the applicants they know.

Greenhouse Recruiting’s integration with Scouted removes the manual work of finding connections to your applicants and streamlines the process of asking for a review. In this article, we will cover how to:

 

  • Configure User Setup Permissions in Greenhouse Recruiting

  • Create a Harvest API Key for the Greenhouse/Scouted Integration

  • Add Harvest API Key to Scouted

  • Retrieve Scouted’s Endpoint URL and Secret Key

  • Enable Greenhouse/Scouted Integration

  • Configure Greenhouse/Scouted Integration

 

Configure User Setup Permissions in Greenhouse Recruiting

In order to enable the Greenhouse/Scouted integration, you will need the developer permissions Can manage ALL organization’s API Credentials and Can manage and configure web hooks.

Contact a Greenhouse user in your organization with Site Admin level permissions with the additional user-specific permission Can edit another user's advanced permissions to apply the API credential management permission to your account. Have the user with Site Admin level permissions edit your user account's permissions by navigating to the Configure icon   > Users > Your Name).

The user with Site Admin level permissions should navigate to the Permissions panel on your user page and expand the Developer Permissions dropdown menu. 

Select the following permissions so that a check is in the checkbox.

  • Can manage ALL organization’s API Credentials

  • Can manage and configure web hooks

When finished, click Save.

Repeat as necessary for any other user that should have access to set up the integration.

Create a Harvest API Key for the Greenhouse/ Scouted Integration

To create a Harvest API key for the integration, click on the Configure icon  in the upper right-hand corner. Navigate to Dev Center on the left-hand panel.

 

From the Dev Center page, click API Credential Management.

 

 

From the API Credential Management page, click Create New API Key to generate the API key for Scouted.

 

 

From the Create new credential dialog box, give your API key a name and select Harvest from the Type dropdown menu. When finished, click Create.

 

 

 

On the Manage API Key Permissions page, select the following permissions for your API key:

  • Applications
  • GET: Retrieve Application
  • GET: List Applications
  • Candidates
  • GET: Retrieve Candidate
  • GET: List Candidates
  • POST: Add Attachment
  • Job Stages
  • GET: Retrieve Job Stage
  • GET: List Job Stages
  • GET: List Job Stages for Job
  • Users
  • GET: Retrieve User
  • GET: List User

 

 

When finished, click Update.

 

Your Harvest API key for the Greenhouse/Scouted integration is created and configured.

Add your API key to Scouted

Copy your API Key

 

Navigate over to Scouted and click the Greenhouse logo in the left navigation bar.

 

Paste your API Key in the section that says Add your API key and click Save.

 

Retrieve Scouted’s Endpoint URL, Secret Key and Error Recipient Email

Before enabling the Greenhouse/Scouted integration, Greenhouse will need three pieces of information:

  • Scouted’s Endpoint URL
  • Scouted’s Secret Key
  • Scouted’s Error Recipient Email

To retrieve this information, navigate over to Scouted and click the Greenhouse logo in the left navigation bar.

 

Scroll to the bottom of the page and you’ll find the endpoint URL, Secret Key and Error Recipient Email under the section called Greenhouse Web Hook. Click the button to the far right to copy to your clipboard.

 

Enable the Greenhouse/Scouted Integration

 

With Scouted’s endpoint URL, Secret Key, Error Recipient Email copied, and your Greenhouse user permissions enabled, you are ready to enable the Greenhouse/Scouted integration.

To enable the integration, click the Configure icon  in the upper right-hand corner and navigate to Dev Center on the left-hand panel.

 

 

From the Dev Center page, click Web Hooks. Click Web Hooks from the subsequent page.

 

You will be directed to a new page where you Create a New Web Hook. You will need to create two Web Hooks to enable the Greenhouse/Scouted Integration. From this page enter the following details for your first Web Hook:

  • Name: Scouted Candidate Stage Change Web Hook
  • When: select “Candidate has changed stags” from the dropdown
  • Endpoint URL: The Endpoint URL copied from your Scouted account.
  • Secret Key: The Secret Key copied from your Scouted account.
  • Error Recipient Email: The Error Recipient Email copied from your Scouted account.

 

When finished, click Create Web hook.

 

 

The page will refresh and you will be able to enter in the following information for your second Web Hook:

  • Name: Scouted Candidate Creation Web Hook
  • When: select “Candidate has submitted application” from the dropdown
  • Endpoint URL: The Endpoint URL copied from your Scouted account.
  • Secret Key: The Secret Key Endpoint URL copied from your Scouted account.
  • Error Recipient Email: The Error Recipient Email copied from your Scouted account.

 

Note: the endpoint URL, Secret Key, and Error Recipient Email are the same for both Web Hooks.

 

When finished, click Create Web Hook.

To verify your Greenhouse / Scouted Integration is set up correctly, navigate over to Scouted and click the Greenhouse logo. When you have three green checkmarks, you are ready to go! Your Greenhouse account and Scouted account can now talk to each other.

 

 

Configure the Greenhouse / Scouted Integration

 Navigate over to Scouted and click the Greenhouse logo in the left navigation bar.

 

 

 

Under the section Greenhouse Settings for Scouted, there is a field that says “Select the candidate stage that will trigger reviews being sent”. From the dropdown, choose which stage you want to trigger Scouted to look for a match (ie Phone Screen). Then click Save.

 

 

 

 

How to use the Scouted Integration with Greenhouse

Once you configure your Greenhouse/Scouted Integration, you can sit back and let Scouted do it’s thing.

When an applicant reaches the trigger stage, Scouted will cross-compare the experience of your employees with that applicant. If there is a match, Scouted will automatically ping the recruiter marked “Responsible” for that applicant.

The recruiter responsible can then send a review request to the employee with overlapping experience.

 

When a review is submitted, the recruiter marked “Responsible” will receive a notification saying a review has been completed with a direct link to view the review in Greenhouse.

 

You can view all completed reviews from Scouted directly on the applicant’s Greenhouse record under “Details” as an attachment.
