Factorial is an HR platform that was created with the goal of solving the problems of Human Resources in small- and medium-sized businesses. Factorial optimizes time-off management, time tracking, payroll, documents, reports, and analytics: everything you need to manage your HR processes. 

Greenhouse Recruiting's integration with Factorial allows users to export hired candidates automatically to Factorial as new employees. In this article, we will cover how to: 

 

Configure User Setup Permissions in Greenhouse Recruiting

In order to enable the Greenhouse Recruiting / Factorial integration, you will need the developer permission Can manage and configure web hooks.

Contact a Greenhouse user in your organization with Site Admin level permissions with the additional user-specific permission Can edit another user's advanced permissions to apply the web hook management permission to your account. Have the user with Site Admin level permissions edit your user account's permissions by navigating to the Configure icon image-0.png > Users > Your Name.

The user with Site Admin level permissions should navigate to the Permissions panel on your user page and expand the Developer Permissions dropdown menu. 

Select Can manage and configure web hooks so a check is in the checkbox. When finished, click Save.

Repeat as necessary for any other user that should have access to set up the integration.

 

Retrieve Factorial's Endpoint URL and Secret Key 

Before enabling the Greenhouse Recruiting / Factorial integration, Greenhouse will need two pieces of information:

  • Factorial's Endpoint URL
  • Factorial's Secret Key

To retrieve this information, navigate to Factorial's integration page: https://api.factorial.com/platform/greenhouse 

This webpage displays Factorial’s Endpoint URL as well as the Secret Key, which is unique to your Factorial account. The webpage is available only to Factorial administrator users and, as such, you might be redirected to Factorial’s dashboard if you do not have the correct permissions to access this page. You might also be asked to log in Factorial.

Copy the Endpoint URL and Secret Key and save this information to use in the next step.

Enable the Greenhouse Recruiting / Factorial Integration 

With Factorial’s Endpoint URL and Secret Key copied, and your Greenhouse Recruiting user permissions enabled, you are ready to enable the Greenhouse Recruiting / Factorial integration.

To enable the integration, click the Configure icon image-0.png in the upper right-hand corner and navigate to Dev Center on the left-hand panel. From the Dev Center page, click Web Hooks

Click Web Hooks from the subsequent page.

You will be directed to a new page where you can create a new web hook. On the Create A New Web Hook page, provide the following details: 

  • Name: We suggest Factorial Integration
  • When: Be sure to select the right web hook so the web hook fires at the appropriate event in Greenhouse. [Candidate had been hired]
  • Endpoint URL: The Endpoint URL obtained from Factorial
  • Secret Key: The Secret Key obtained from Factorial

When finished, click Create Web hook

That is it! Your Greenhouse Recruiting account and Factorial account can now talk to each other. 

 

Use the Greenhouse Recruiting / Factorial Integration

Once the web hook is set up, hired candidates will be exported automatically to Factorial as new employees. To ensure you maintain control of who has access to Factorial, you will need to approve new employees before they are added fully to Factorial. 

The information imported to Factorial from Greenhouse Recruiting includes the candidate's first and last name, email address, and start date. If you would like additional information transferred to Factorial, reach out to the Factorial Customer Success team with a list of information to add.
