Greenhouse Recruiting’s integration with Starred allows your organization to create workflows that automatically send feedback surveys to candidates at specific moments in a candidate's interview plan.
Note: This integration supports automated feedback surveys to candidates when they are hired or rejected for a particular job.
Configure user permissions in Greenhouse Recruiting
In order to enable the Greenhouse Recruiting / Starred integration, you will need the following developer permissions:
- Can manage ALL organization’s API Credentials
- Can manage and configure web hooks
Contact a Greenhouse Recruiting user in your organization with Site Admin level permissions with the additional user-specific permission Can edit another user's advanced permissions to apply the API credential management permission to your account. Have the user with Site Admin level permissions edit your user account's permissions by navigating to the Configure icon > Users > Your Name.
The user with Site Admin level permissions should navigate to the User-Specific Permissions panel on your user page and expand the Developer Permissions dropdown menu.
Select Can manage ALL organization’s API Credentials and Can manage and configure web hooks so a check is in each checkbox. When finished, click Save.
Repeat as necessary for any other user that should have access to set up the integration.
Create a Harvest API Key for the Greenhouse/Starred integration
To create a Harvest API key for the integration, click the Configure icon > Dev Center > API Credential Management.
From the API Credential Management page, click Create New API Key to generate the API key for Starred.
In the Create New Credential dialog box, make the following selections:
- API Type: Harvest
- Partner: Starred
- Description: Starred Harvest API Key
When finished, click Manage Permissions to generate the Harvest API key and automatically assign it the appropriate permissions required by Starred.
In the subsequent dialog box, click Copy to save your API key to your clipboard. Store the API key in a secure location to provide to Starred in the next step. Click I have stored the API Key once you have copied and saved the key.
Note: You cannot access the full API key again after clicking I have stored the API Key. If you lose your API key and need to access it later, you must create a new API key, provide it to the integration partner, and then revoke access to the original key.
On the subsequent page, confirm the following permissions are assigned to your new API key:
- Jobs
- GET: Retrieve Job
- Users
- GET: Retrieve User
If any of the permissions above are not checked, place a check in the box next to the appropriate permission. Click Save when finished.
Your Harvest API key for the Greenhouse Recruiting / Starred integration is created and configured. Proceed to the next step to provide the API key to Starred.
Enter Greenhouse Harvest API Key In Starred
From your Starred account and click Connect from the navigation bar.
Navigate to the Greenhouse integration card and click Connect.
Enter the Greenhouse Harvest API key in the provided space and click Continue when finished.
Retrieve webhook credentials
Before enabling the Greenhouse/Starred integration, Greenhouse will need two pieces of information:
- Starred’s Endpoint URL
- Starred’s Secret Key
You can retrieve this information from Starred Connect Web hook setup page.
Create Greenhouse Recruiting webhooks
With the Starred credentials copied from the previous step, navigate to Greenhouse Recruiting.
The Greenhouse Recruiting/Starred integration supports the following functions when creating workflows.
- Candidate Hired - Triggers when a candidate has been hired.
- Candidate Rejected - Triggers when a candidate or prospect’s application is rejected
Your organization will need to create two separate web hooks for each of the workflows.
To create the webhooks, click the Configure icon > Dev Center > Web Hooks.
Click Web Hooks from the subsequent page.
You will be directed to a new page where you Create a New Web Hook. From this page provide the following details:
- Name: we suggest Starred Integration
- When: Candidate has been hired
- Endpoint URL: The Endpoint URL retrieved from the Starred Connect
- Secret Key: The Secret Key retrieved from the Starred Connect
When finished, click Create Web hook.
Use the above steps and credentials to create a second webhook:
- Name: we suggest Starred Integration
- When: Candidate has been rejected
- Endpoint URL: The Endpoint URL retrieved from the Starred Connect
- Secret Key: The Secret Key retrieved from the Starred Connect
When finished, click Create Web hook.
Once you have created both web hooks in Greenhouse Recruiting, navigate back to the Starred integration setup page and click Validate Webhooks.
When both web hooks are validated (as shown in the image below), click Finish Setup.
Integration workflows
Once your integration is properly configured, you can go ahead and create workflows to automate feedback surveys on different touchpoints. You can create a workflow from scratch by selecting Greenhouse as a trigger and Starred as an action or you can create a workflow using pre-built templates.
