Developed by Atlassian, Jira is a bug-tracking and agile project management tool.
You can integrate Jira as a third-party task system with Greenhouse Onboarding to automatically assign onboarding tasks to Jira via email.
Retrieve your Jira email address
Greenhouse Onboarding uses your organization's Jira email address to send your onboarding tasks to Jira's ticketing system.
Note: You'll need to set up a mail server and service with Jira for the integration to work correctly. Learn more.
To enable Jira as a third-party task system, contact your organization's Jira administrator to retrieve your Jira email. You'll use this later to enable the Jira integration in Greenhouse Onboarding.
Configure your Jira email settings
Configure your Jira email settings so Greenhouse Onboarding can send tasks to Jira.
Open your Jira account, then navigate to Configure > System > Mail > Incoming Mail.
Click Add incoming mail handler, or click Edit next to an existing mail handler.
From the Mail Handler window, assign the following:
- Name
- Server
- Handler
Note: We recommend using the following for your mail handler settings:
- Name that mentions Greenhouse Onboarding (for example, "Greenhouse Onboarding task"
- Create a new issue or add a comment to an existing issue for Mail Handler Type
Click Next when you're done.
In the next window, specify the following:
- Project where Greenhouse Onboarding should add tasks
- Type of issue that should be created
- Default Reporter
Note: Make sure to select a Default Reporter to ensure Jira will pick up tasks as incoming issues.
When you're done, click Save.
Enable Jira in Greenhouse Onboarding
Once you've configured and copied your Jira email address, navigate to Greenhouse Onboarding.
From your Greenhouse Onboarding homepage, navigate to Settings > Company Info > 3rd-Party Task Systems.
On the 3rd-Party Task Systems page, click Add New.
Give your new 3rd-party task system a name and select Jira with the System dropdown.
Paste your copied Jira email address in the Email Address field.
Since your Greenhouse Onboarding tasks can include tokens (which may reveal personally identifiable information), you'll need to define which fields Jira can view.
Use the Viewable Fields (Optional) dropdown to select which fields Jira can view.
Note: If a task with a non-viewable token is assigned to Jira, Greenhouse Onboarding will block Jira from accessing the information.
When you're finished, click Save and Close.
Your Jira account will be added as a third-party task system in Greenhouse Onboarding. Repeat these steps for any additional Jira accounts you need to integrate with Greenhouse Onboarding.
This Jira account (and any additional projects connected as third-party task systems) can now be assigned tasks from Greenhouse Onboarding.
When you assign tasks in Greenhouse Onboarding, they'll appear in Jira under your selected project.
Your team can action the task or ticket like any other in a Jira project.
