Asana is a web and mobile application designed to help teams organize, track, and manage their work.
You can connect your organization's Asana board as a third-party task system in Greenhouse Onboarding to assign onboarding tasks to Asana. Tasks assigned to Asana will be automatically added as a card to your board and sent to relevant users via email.
Add Greenhouse Onboarding to an Asana project
Before you can send onboarding tasks to Asana, you'll need to share your Asana project with Greenhouse Onboarding.
To start, navigate to the Asana project that you want to connect with Greenhouse Onboarding.
Click Share.
In the Share project dialog box, add no-reply@mail.onboarding.greenhouse.io
to the Invite with email field.
Set the member permissions to Editor.
Note: Make sure that the Notify them when new tasks are added to this project checkbox stays unchecked.
When you're finished, click Send.
Greenhouse Onboarding has now been added as a member to your Asana project.
Retrieve your Asana project email
Next, you'll need to retrieve your Asana project's email. This email will be used in Greenhouse Onboarding to set up the integration.
Click the downward arrow to the right of your project's name.
From the dropdown menu, select Import > Email.
Copy the email address from the Add tasks by email dialog box.
Connect Asana to Greenhouse Onboarding
Once you've copied your Asana project's email address, navigate to Greenhouse Onboarding.
From your Greenhouse Onboarding homepage, navigate to Settings > Company Info > 3rd-Party Task Systems.
On the 3rd-Party Task Systems page, click Add New.
Give your new 3rd-party task system a name and select Asana from the System dropdown.
Paste your copied Asana email in the Email Address field.
Since your Greenhouse Onboarding tasks can include tokens (which may reveal personally identifiable information), you'll need to define which fields Asana can view.
Use the Viewable Fields (Optional) dropdown to select which fields Asana can view.
Note: If a task with a non-viewable token is assigned to Asana, Greenhouse Onboarding will block Asana from accessing the information.
When you're finished, click Save and Close.
Your Asana project will be added as a 3rd-party task system to Greenhouse Onboarding and can now be assigned tasks.
Note: To connect multiple Asana boards to Greenhouse Onboarding, repeat the above steps for all Asana projects you want to connect.
