How does the integration work?

The Greenhouse Onboarding/ADP Workforce Now integration allows you to collect essential information from new hires in Greenhouse Onboarding and then create a new profile in ADP.

You can choose which employees are pushed over to ADP. When the employees are imported to ADP, they're created as an active hire and the ADP onboarding is skipped.

What information is required for the integration?

The following new hire information is required on their Greenhouse Onboarding profile in order to successfully create an ADP account:

  • Legal Name
  • Work Email
  • Social Security Number (SSN)
  • Gender
  • Birthday
  • Start Date

What additional information can I sync from Greenhouse Onboarding to ADP?

  • Company Code
  • Benefits Eligibility
  • File Number (optional)
  • Department
  • Team (or Business Unit)
  • Location
  • Title
  • Address
  • Race/Ethnicity
  • Personal Email
  • Personal Landline
  • Personal Mobile
  • Work Landline
  • Work Mobile
  • SSN
  • Federal Marital Status
  • Gender
  • Employment Status
  • Regular Pay Rate
  • Pay Rate Type (Hourly v. Salaried)

Can I set up additional fields to sync between the systems?

Fields that are not listed above cannot be synced between the systems. This means the integration cannot sync fields such as emergency contact, manager, or other custom fields.

Can the integration manage documents?

No, the integration cannot manage documents.

Is the integration compatible with ADP e-verify or electronic I-9s?

No, the way the integration adds a new hire to ADP removes the ability to launch the e-verify solution in ADP or an electronic I-9.

How can I notify specific people when someone is added to ADP using the integration?

The integration processes new hires using ADP's HR + Payroll (System) Template. If you want to adjust email notifications on that template, please reach out to your ADP representative.

I have a custom template built to onboard employees in Workforce Now. Can the new hires from Greenhouse Onboarding be onboarded using this template?

No, new hires are processed only through the HR + Payroll (System) Template.

I have employees based in two or more states. When new hires are synced, does the integration reflect their different locations in the State Worked In field?

No. The integration requires you to select a single default State Worked In for all new hires added to ADP. If your organization is based in multiple states, you must manually update the ADP profiles created by the integration to reflect different locations.

Can the integration sync new hires based outside of the US?

No, the integration can only manage US-based new hires because SSN is a required field.

Does the org structure in Greenhouse need to mirror the org structure in ADP?

No, your org structure in Greenhouse Onboarding doesn't need to mirror the org structure in ADP.

Please reach out to your Customer Success Manager (CSM) for more information.

What's the best way to test the integration before going live?

Please reach out to your Customer Success Manager (CSM) who can lead a testing session with you and your team.
