How do I send recruiting updates to my coworkers or boss?

Is your boss breathing down your neck wondering when the new Accountant will start? Are you sick of compiling lackluster notes about your pipeline to send over to a hiring manager? Well now there's an easier way to keep the right people informed without sapping precious time away from you and your team!

Recruiting Updates provide lots of information about how your hiring process is going and can be easily emailed to anyone in your organization. To start, click on the Reports tab, then select the Candidate Pipeline Email option:

Just like the other report filters, you can select the jobs and departments you'd like to include in the email (up to 50 jobs). Different people might be interested in different areas, so you can make these emails as targeted or general as you'd like!

On the next page, you can select which candidates should be included in the report. A Hiring Manager might be interested in anyone who has been phone interviewed, while your CEO or other executives might only want to hear about candidates who are nearing the end of the pipeline. 

After you've selected the right criteria, you can view the message and add any additional comments right under each job or candidate name. From there, just enter you colleague's information and click send! Their version of the report will include handy links to each job and candidate in case they want to delve into things in more detail!

    Is there a certain permission level that the report receiver has to have to view the reports? Do they need to be listed on the specific job(s) to be able to click through in the email to see the details?

    Hi Evan,

    The email can be sent to anyone, even non-Greenhouse users. When someone clicks the links, they'll be prompted to log in, and if they don't have appropriate permissions, they either be sent to their All Jobs Dashboard or a page that says "Sorry, you don't have permission to view this page."

    Do the reports show Prospects listed against jobs? This is one of the key factors in a report stakeholders will want to see.

    Right now the report will only show active Candidates, not Prospects. We're interested in learning how people want this feature to work so we can make it as helpful as possible, so I'll forward this request over to our Product team!

    Great thanks Murphy. I think that adding Prospects into reports would be a really key addition to the reporting function so would be great to see it on the product roadmap at some stage.

    Hi! Is it possible for these reports to be in a chronological order either by stage or interview date? For example, I'm running a report for one role and have selected three different stages and instead of the candidates being listed in order by stage or interview date they are listed alphabetically by first name which is not going to help a hiring manager/stakeholder if they are trying to get a quick snapshot of the pipeline.

    Hi Murphy-

    Is there any update to change the order on this report yet? It would great to have a more organized/chronological way to show hiring managers candidates in their pipeline. For HM's who have multiple positions opened, showing the candidates by alphabetical order could be very confusing.

    Hi Cori,

    I talked with the product team, and it looks like we did make a change to the ordering here. The candidates will now appear from earliest stage to latest stage (although they are still alphabetized within each one). Please let us know if you have any other questions!

    Is there a way for reports to be emailed at a pre-configured schedule?

    Hi Richard,

    There is not. The recruiting update functionality is meant to be a way for a user to send another user pipeline updates with the ability to write in notes, not a way to schedule regular pipeline emails. If you'd like to do that, I recommend using the weekly recruiting notification found in configure -> email notifications. Just sort by user/job and it'll be the top option.
