How do Users submit referrals from the Dashboard?

Step 1 of 4: Click on the New Referral button from your main dashboard.

 Step 2 of 4: It isn't possible to refer a prospect, so choose a job for your referral. If you think they might be good for several different ones, simply choose one and write a note to the Recruiter outlining the others as well. The Recruiter will then be able to assess their information and make sure they end up in the best job or jobs.

Step 3 of 4: When submitting a referral, be sure to complete the fields under the Details section to provide background as to your relationship with the referral.

Step 4 of 4: Once you’ve submitted a referral, you will be able to keep track of the candidate’s status and current interview stage by clicking on the Referrals tab and selecting "My Referrals" from the drop-down menu (if you are an Admin), or by clicking on the Referrals tab as a Basic or Interviewer User.

    Do you have to have credentials (assuming basic user) to have an employee submit a referral? That seems untenable at scale.

    Hi Mark,

    That's right - the ability to submit a referral is tied to having a user account on Greenhouse. One of the big benefits of requiring authentication to be able to submit referrals is that employees are automatically credited as the source and can therefore track their referrals.

    Is there any way to check the details of the referral status? For instance, it says "rejected" - is there a way to learn more on why, so I could consider the reasons for the next time I refer someone?

    Hi Boris,

    Great question! We don't have a place for Hiring Managers to communicate that sort of information to referrers, so your best bet would be to contact someone in your company's recruiting department to get more detailed feedback on how your candidates progressed.

    A Hiring Manager could also use the @mentions feature to send you a note about one of your referred candidates.

    How can a user edit a referral after submitting? Some fields were incomplete the first time, and I forgot to fix other fields the second time. Is there any recourse for editing a referral after submission?

    @Ehsan - No, it isn't possible to make any changes to your referrals after they've been submitted, but in the email you get after referring, you should see the recruiter for your referral. If you contact this person, they can update the person's profile with any relevant and missing data.

    Hello! One of my colleagues asked about submitting candidates as a General Prospect. According to these instructions, users should be able to submit a referral without choosing a job, however, when I tried (and when my colleague tried), there is an asterisk next to the Job drop down menu meaning it is required to choose a job to submit a referral. Could this have been a custom option that I chose? Could you please explain the discrepancy? Thank you.

    Hi Stephanie,

    That's a great observation and a mistake on our part! One can only refer someone as a candidate for a specific job, we removed the ability to refer someone as a prospect. We'll change the language to avoid further confusion!

    +1 to Ehsan Mafi's feature request. Would be incredibly helpful for the Referrer (and/or Recruiter) to be able to edit the answers they had provided to the referral form questions after their initial submission. It's a bit onerous to expect referrers to answer lots of questions or provide detailed referral feedback up front, but if we're actually getting closer to hiring the referral, we'd want complete input from the referring employee to be captured. As it stands now, there's no way for them to be able to add more detail later...

    We are just now going live with Greenhouse and want to display the jobs on our intranet for referral purposes. We are using the Job Board API to retrieve all of the details, and our employees can click on the link. However, all they get is the external job posting, and there is no easy way to make a referral.

    Another thought was to also post the job to the internal job board and include an "Add a referral" link in the job posting. But even when they click that, they just get to the generic "add a referral" page like you describe above. In this case, they are already on the job that they want to refer an employee for, and having to find the right one again seems to be extra work, considering they have already found the correct job.

    Any ideas on how to streamline the process?

    Thanks for writing in!

    After you successfully you refer a friend, a candidate profile for your friend is created in Greenhouse. There's no need for your friend to also apply through your company's website.

    How do other companies submit referrals in Greenhouse for jobs or locations that they do not have open at that time since the "refer a prospect" functionality is no longer there? Do other companies have a culture like ours where referring great talent is part of the year round culture? Forcing an employee to submit a referral for only a specific job is very challenging for us and we are looking for some work around.

    Sorry for the delay here!

    A really good option here is to create some kind of referral "bucket" job. For instance, if your users want to refer someone that they think could generally be good at customer success but don't have a specific job in mind, you can create a job called "CS PROSPECTING" and make it live internally only. All users can refer to jobs that are live internally.

    If the person is already in the system, you can edit the candidate's source to reflect the reference. This can be done under the candidate's Details tab > Source > Update the Source to Referral and Who Gets Credit? > Update Source.

    Hello,
    I'm a stylist in the Mpls region. A friend of mine applied for the Stylist position via the Stitch Fix website, not through my referral link. How can I go in and refer her? I saw someone asked a similar question above, but when I tried to follow the instructions, it didn't work for me.

    Hi There,

    We have a recruiter that accidentally entered a candidate into GH as a referral. They put salary information that should be in private notes in the Referral Questions section. Can interviewers for a role see the Referral Questions notes or is that just for admins to see?

    Hello Elvira,

    Thank you for reaching out about this! When Candidates apply using a Referral link, they will receive a "Thank you for Applying" email if you have selected 'Yes' beside "Should applicants receive an automatic email when they submit an application?" in the Job Post's settings.
