How do I create a Confidential job?

On the Job Name & Info step of the job setup process, you have the ability to create the job as Confidential.

Creating a Confidential job means that no other user --not even users with Site Admin permissions -- will have access to that job unless you manually assign permissions to them via the Hiring Team page. The only user who can access a Confidential job by default is the user who created the job. As well, it is not possible to create Job Posts for Confidential jobs. 

Agency recruiters can still be assigned to Confidential jobs. Just as you normally would, you can go to Sourcing to assign agency recruiters to Confidential jobs.

After the job is created, a yellow Confidential tag will appear next to the job name.To make a Confidential job Public, select Job Setup>Job Info and press Make Public at the top of the page.

Important notes:

  • It is not possible to edit existing jobs to make them confidential -- a Confidential job must be established in the job setup process.
  • If you make a Confidential job Public, you can't undo the action! Make sure you really want it to be public before switching it over!

    It would be nice to add the functionality of having a private job move out of that stage or into it from a regular job. Sometimes the sensitivity was there and now is not or vice versa!

    I agree that it would be a great to be able to switch a private job to public and vice versa, things change in the course of a search and that would be really useful.

    Thanks to everyone for your feedback! We've been discussing this with the Product team.

    @Chris, only the user who created the job, or any users subsequently assigned permissions to the job via the Hiring Team page, would be able to select a private job via the "Start from a copy of an existing job" option. Other than that, no other user will be able to access the job, including via "Start from a copy of an existing job".

    There's no way to make a job private after it's already been created as public. If you have candidates on that public job, but you'd like them to be on a private job, there is a workaround!

    It's best to create a confidential job and then move those candidates from the public job to the confidential job.

    Can you see pipeline snapshots for a Confidential job the same way you can for any other position? Also, how is Activity feed visibility treated for a candidate who is on 2 jobs, with one of those jobs being a public job that multiple people (interviewers, hiring managers) have access to and the other being the Confidential job that has limited permissions?

    Confidential jobs will be visible on reports, including the Pipeline report, to those users who have permissions on that job.

    If a candidate is on 2 jobs, one public and one confidential:
    - Only the users with permissions on the confidential job will be able to see that the candidate is on 2 jobs. To all other users, it will seem like that candidate is only on 1 job.
    - On the Activity Feed, users with permission on the public job will be able to see all activity on the public job. However, they will be able to see stage transitions for the confidential job. If you'd like the candidate's profile to be completely locked down, marking the candidate as Private may help.

    Agree with all the feedback that there should be more functionality to move jobs back and forth between different statuses (private/confidential vs. public etc.) without losing valuable stats and information.

    Currently there is no functionality that allows a public job to be made confidential, though a confidential job can be made public. While we would like to be able to offer this functionality, this would be a large project that would affect many parts of the platform (ex. permissions, reporting, managing candidates). In order to do this properly, it would require resources that we aren't able to reallocate at this time.

    If you would like to share a confidential job with other Job Admins, they will need to be added to the job as a Job Admin. You can do this from Job Setup>Hiring Team. They will need to added to the job at the same level they are on for other jobs. For example, if someone is a Job Admin: Private on other jobs, they will only be able to be added to the Confidential Job as a Job Admin: Private.

    Why do I not see the job posting stage on this type of job ?

    I need to put kick out question on the application side and, do not see a way to do this.

    Thanks for writing in! Confidential jobs do not have an option for job posts as the job is private. Candidates will need to be manually added to the role. If you need to post the job publicly, you can click on 'Make Public' under Job Setup>Job Info. However, once a job is made public, it cannot be made confidential again.

    Hi Chung-Kun Lee,

    This info would be accessible via the Harvest API, not the Job Board API as the confidential job will not have a job post associated with it.

    Also the Job object is what is being marked as confidential and it will have a 'confidential' attribute on it that will be either True or False.

    Candidates themselves won't be marked as confidential or not. Rather they will have application id's associated with them. And each application object will have a jobs attribute which is an array of job id's that it is associated with.

    If the job id is that of a confidential job then you will know that this application and the candidate it is tied to is data from a Confidential job.

    Hi,

    I created a confidential job and want to add another person to the hiring team. This person is a Site Admin. Their name doesn't show up as an option to be added in any role on the hiring team and they confirmed that they don't have access to the private job or any candidates within the private job. How can I add a Site Admin to the Hiring Team for a confidential job?

    Hi Bridget,

    Thanks for writing in! Since the role is confidential, even Site Admins will need to be given permissions on this role. Users need to be added to the confidential job at the same level they are for the rest of Greenhouse.

    You should be able to give them access from Job Setup>Hiring Team>edit Site Admins>add their name here. Once you add them to the job as a Site Admin, you can assign them a hiring team role.
