What is the Interview Kit used for? Will my colleagues see it?

The Interview Kit contains everything an interviewer needs to conduct a focused, purposeful interview and provide useful feedback afterwards. This includes instructions, the candidate's resume, and a scorecard. Creating thoughtful Interview Kits for each step of the process is the easiest way to align your team and improve you hiring process. When you schedule interviews, Greenhouse will automatically insert a link to the Interview Kit in the calendar item.

Additionally, this URL is how Greenhouse knows to match the interview scheduled in the external calendar to which 1) job 2) candidate 3) interview stage in Greenhouse. If any of these three criteria is 'wrong' or different, it will not be synced correctly between the external calendar and Greenhouse.

If you make any changes to this URL when you send out the interviewer invite and the URL becomes invalid, you will receive the error message as you have. Most common reason for this error is when the scheduler accidentally deletes the last digit of the URL or when they copy and paste the content, including the interview kit URL.

Who has permission to edit an interview kit?

  • Avatar

    Hi Carolann,

Site Admins are always able to edit the interview kits, but you can decide whether Job Admins should have this access as well. On the Configure > Permissions Policies page, there is a setting that says "All Job Admins - Can edit jobs - scorecards, interview plans, sources, rejection reasons," so checking this box opens it up to Job Admins as well.

Please let us know if you have any other questions!

If "All Job Admins - Can edit jobs - scorecards, interview plans, sources, rejection reasons," does this include updating or changing completed scorecards? And can this be job specific so only job admins on the specific job can edit the interview plan and scorecard template?

    Hi Ashley,

In order for someone with Job Admin/ Interviewer permissions to be able to change the interview plan an scorecard template, they must be assigned as a job admin to the specific job. (You can see the Job Admins on a job by going into the Hiring Team page for the job).

In addition, Job Admin assigned to a job cannot edit already completed scorecards by a user. Only a Site Admin can do that.

    Hope this helps!

    Hi Emily,

    Thanks for reaching out!

To send an interviewer a link to the Interview Kit (which contains the scorecard), you can either:

    1) Navigate to the Candidate's tab
    2) Filter by the candidate
    3) Hover over the candidate's name
    4) click on the "Interview Kit" button - this will take you to a new page
    5) Copy URL in address bar of Interview Kit
    6) Send URL to interviewer

    a) Navigate to the Candidate's profile
    b) Hover over the stage name of the interview
    c) Click on the Interview Kit icon that appears - this will take you to a new page
    d) Copy URL in address bar of Interview Kit
    6) Send URL to interviewer

    Hope this helps!

Is there a way to add a word or excel document to an interview kit? We have some interviews that are scenario based and want to provide the interview with each data set or scenario ahead of time for review, and during the interview that they can refer back to.
