With HRIS Link, you can automatically export candidates as soon as they are hired in Greenhouse Recruiting to be managed in your preferred HRIS.
To use HRIS Link for hired candidates, provide your Greenhouse technical consultant with your preference for exporting new hires to an SFTP server or S3 bucket. You can then finish set up in Greenhouse Recruiting, and be ready to transform the new hire information for use in your HRIS.
Before you begin
First, decide how to receive your new hire payloads, including the method, the format, and whether to use encryption:

Provide your preferences to your Greenhouse technical consultant, and they'll enable HRIS Link for hired candidates for your organization.
Once enabled, you're ready to set up HRIS Link for hired candidates for SFTP or S3, and manage PGP encryption for the new hire exports.
Set up HRIS Link for hired candidates
SFTP
Once enabled, log in to Greenhouse Recruiting and click the Configure icon on your navigation bar.
Click Dev Center > HRIS Link.
Scroll to HRIS Link for hired candidates.
Hover over SFTP and click the Edit icon.
Configure your SFTP settings.
You can configure the following settings:
- Server address
- Export new hire path
- Username
- Password
Note: The export new hire path is the specific folder or path in which you wish to export new hires.
When finished, click Save.
Click Confirm save.
Once complete, we'll deliver a payload to the provided endpoint each time a candidate is marked as hired in Greenhouse Recruiting. Learn more: HRIS Link for hired candidates.

Next, if necessary, you can manage PGP encryption for the new hire payload.
S3
Once enabled, log in to Greenhouse Recruiting and click the Configure icon on your navigation bar.
Click Dev Center > HRIS Link.
Scroll to HRIS Link for hired candidates.
Hover over S3 and click the Edit icon.
Configure your S3 settings.
You can configure the following settings:
- AWS bucket
- AWS access key ID
- AWS secret access key
- Object key prefix

When finished, click Save.
Click Confirm save.
Once complete, we'll deliver a payload to the S3 bucket each time a candidate is marked as hired in Greenhouse Recruiting. Learn more: HRIS Link for hired candidates.

Next, if necessary, you can manage PGP encryption for the new hire payload.
PGP encryption
With HRIS Link, your Greenhouse technical consultant can enable PGP encryption on the new hire payloads for added security.
Once enabled, you can manage PGP encryption on Greenhouse Recruiting.
Log in to Greenhouse Recruiting and click the Configure icon on your navigation bar.
Click Dev Center > HRIS Link.
Scroll to HRIS Link for hired candidates and hover over PGP to select the Edit icon.
You manage the following settings for PGP encryption:
- Recipient public key
- Recipient email address
When finished, click Save.
Click Confirm save.
We'll use the encryption public key on your new hire exports.
